Report Customer by Filter by Other 1

I have added a code on Other 1 when setting up a customer. Now I want to pull a report and filter it by the code I entered on Other 1 however this does not seem to work. Is there something else I need to be doing?

Report Customer by Filter by Other 1

Good day, @texasrag. I'd be glad to share info on how to show the Other 1 info on customer reports.

Before we proceed, can you help us verify the specific report you use when pulling up this info? This will help me review it on my end and provide you with the appropriate solution to address the issue. Any additional details you can add would be much appreciated.

Once you generate reports in QuickBooks Desktop, it will display them based on the set of instructions know as a Report set. This determines which lines of which transactions are included in the report and possibly the reason why the info in the Other 1 isn't showing.

For example, if you're running a report such Customer Balance Detail and include Other 1 on its filter, the info won't show since this report only reflect the data that comes from customer's transactions and not on their profile.

For more info, you may check out this resource: Understand reports.

Moreover, you can memorize reports in QBDT to save your customized settings. This way,  you don't have to go through the customization process again.

Please let me know if you have further queries about filtering customer reports by Other 1 in QuickBooks Desktop. I'll be here to help.

Report Customer by Filter by Other 1

Hi thanks I know that you can show the OTHER 1 field on customer contact list however if I want to pull a sales by customer summary and filter it by OTHER 1, it does not show anything.

Why would it show it as an option on the field if we can not actually use it for sales report?

Report Customer by Filter by Other 1

Thanks for coming back here, @texasrag. I'll explain why the "Other 1" field data is shown on the Customer Contact List report and not in the Sales by Customer summary.

The Display and Filter tab sections in reports have specific functions in Quickbooks Desktop (QBDT) based on the kind of report you pull up. When you open the Sales by Customer Summary report, it will show the sales data based on percentage only, and including the "Other 1" won't show any data.

If the "Other 1" column was added to the customer profile, the data shown in the Customer Contact Lists only, or any reports reflecting the customer's info. Known as the Source, the summary of information about a transaction. Then, Targets provide detailed information about the transactions, including all the target data.

Feel free to read this article for detailed information: Understand reports.

However, you can add this column by customizing your sales form so it will show in your sales report. You can read this article for the detailed steps: Create and use custom fields in QuickBooks Desktop.

You may want to learn how to merge financial reports from different company files. Check out this article: Combine reports from multiple company files.

Feel free to comment below if you have additional questions about managing your report's data filters. We'll be willing to help. Keep safe always.

RE: Now I want to pull a report and filter it by the code I entered on Other 1 however this does not seem to work. Is there something else I need to be doing?

Yes. The filter for transaction reports works on the values entered in the Other 1 field on transactions, not on the customer records.

In turn, the only types of transactions where it can be entered are sales transactions like invoices and credit memos and sales receipts.

To enter it, customize your sales form templates and include the field, and then populate it on new and/or existing transactions.

Then the filter will work.

I've no idea why Intuit employees don't understand this.
