In a few reports that include transaction line items in QuickBooks Online, my clients are noticing when sorted by Default or Date, the report is randomly mixing up the line items when the Date matches other records. Has anyone seen this behavior and found a workaround? For example, I've shown a Quick Report from the Cost of Goods Sold account. See how there are many Journal Entries dated with today's date, but the line items from each Journal Entry are not listed together on the report. Having a secondary sort would solve this (i.e. secondary sort by the NUM column). There are actually 3 examples in the image below that are being sorted out of order with the transaction (123461,123462,123465). I've confirmed these are in fact on the same Journal Entry, not on a separate Journal Entry with the same Number.
Just to show another example, here is the Inventory Asset account Quick Report, which randomly is sorting Journal Entry #123462 as desired, but is jumbling up #123465. It seems to be random.
Ideally QuickBooks Online would sort the reports by date, then by transaction in cases where the date matches, the same way QuickBooks Desktop did. Has anyone seen this before and know any workarounds? For now we will set the reports to sort by NUM (document number) descending, but this is not an ideal solution.
Thank you for any help you can provide.
Let's try clearing your browser's cache so you'll be able to refresh the sorting of your report. Let me help you with the steps.
If you're using Chrome, here's how:
For other browser's, please refer to this article: Delete or disable cache and temporary internet files in your web browser.
After that, open and sort your report again.
I've added this article for future reference: How to customize reports.
Stay in touch in you have questions. I'll be sure to get back to you as soon as possible.
Thank you for the help. I tried clearing my cache in Chrome as suggested, but the reports are still sorting the same way.
This is happening if I have the Sort set to "Default" or "Date".
I can also attach an example where this is happening to some Bills as well, so I've been able to prove the issue is not confined to Journal Entry line items. This was reported by a customer and I've been able to reproduce it in my company files, so I've also confirmed it is not only a single company file.
Let me know if I can provide more information or run more tests.
Thanks for providing screenshots and performing the steps shared by my colleague. I replicated your situation using my sample company file to confirm that the result is the same.
I’m taking note of this and passing it along here on my end. As a temporary workaround, I recommend following the Sort by Num for the transactions to appear in order.
Another option is to export the report to Excel and process the sorting out of data from there. For more information, check out this article: Export reports to Excel.
