Sales report for customer who purchased less than $4000 last year

I am trying to run a report for customers who purchased less than $4000 last year. I have tried using the customer detail sales report and a custom transaction detail report but filtering by balance isn't an option. When I export to excel and try filtering, I loose all "By Customer" formatting and it makes the report useless. I would think this would be simple but have been trying for months and can't get what I need. HELP!

I don't think QuickBooks will filter a report by the totals.

 

I just ran the Sales by Customer Summary and then sorted it by the total. Seems that could be exported to Excel and the customers that purchased more than $4000 deleted from it.

 

However that same procedure won't work for a detail report, if you need the details on the report.

Hello there Erin,

 

I'm chiming in the discussion to share some insights about this sales reporting topic.

 

If you want a sales detail report with the items, use the Sales by Customer Detail report. It has the Item column so you know what products were sold to a specific customer.

 

Here's how it looks like:

 

You can also open the Sales by Item Detail. This report already has a total for each item and a total for all sales at the bottom of the report.

To pull up the reports, follow these steps:

 

  1. Go to the Reports menu.
  2. Choose Sales, then Sales by Customer Detail or Sales by Item Detail.
  3. Update the Dates and Report Basis.
  4. To add filters, use the Customize Report option.

Sales report for customer who purchased less than $4000 last year

My question was, How do I filter that detailed report by a balance? I need to see all customers that purchased less than $4000 of a particular item for the period (last year for example). I keep telling my sales department that QuickBooks won't generate a report like this but they insist they need the info so this Community was my last hope to find the info. I have to be able to sort by item and balance, amount won't work either, I tried.

Let me share additional insights on how you can customize the detail report by a balance. The Filter tab doesn't allow you to filter the detailed report by a balance. 

 

You can use the Display tab to sort a column by total and item type. Please browse this article to learn how to use the Display and Filter tab: Customize reports in QuickBooks Desktop.

 

You may also use the report provided by Jen_D and provide them to your sales department.

These are two different things.

 

I think you can get a summary by customer report, sorted by total and filtered for a specific item. No details, but the total purchases will be for that item, if that is what you need.

 

But that's not the same as sorting by item, which QB won't do on a report already sorted or subtotaled by customers.

Sorry, I meant to say filter, not sort. Filter by specific item and then filter for balances less than a specific amount.

I appreciate your immediate response, @erintn2489. Let's go ahead and filter the sales report to get the data you need in QuickBooks Desktop (QBDT). I'll show you how.

 

You'll first have to pull up the Sales by Item Detail report (as recommended by Jen_D). Then, customize it by filtering the Item and Amount options. To do this, here's how:

 

  1. Go to the Reports menu.
  2. Choose Sales, then Sales by Item Detail.
  3. Select the Customize Report button.
  4. Go to the Filters tab.
  5. In the Choose Filter box, search for the Amount and Item options. For the Amount filter, indicate the amount you need. Then, specify the name of the item for the Item option.
  6. Click OK.

Sales report for customer who purchased less than $4000 last year

Still not what I need. I need:
Each customer that purchased items A, B, and/or C, in any combination and did not spend more than $4,000 in 2021. The customers could have purchased more than one model and that is why I need the balance and not the amount. My sales reps want to contact all these customers. I need the report by customer because I have 5 different sales reps.

Thanks for getting back to us. Allow me to hop in and help ensure you get the report you need in QuickBooks Desktop (QBDT).

 

The steps shared by my colleagues above shows how to run a custom sales report that has the items and balances of your customers. If you're still unable to see the information that you want, you can export the report to Excel and manually customize it from there.

 

You can use either Sales by Customer Detail or Sales by Item Detail report. To export them, please refer to these steps:

 

  1. Open the report that you prefer.
  2. Click the Excel on the toolbar. You can also select Print or Email to save the report as a PDF.
  3. To create a new Excel workbook, tick Create New Worksheet.
  4. When you’re ready to export, select OK. To open the report in Excel, you can also hit Export.

In this case you can filter the sales by customer summary report for those three items. Then sort the report by the total from smallest to largest and print the pages that list the customers with less than a $4000 total.
