Transferring Quantities from Invoice to Packing slip

I am creating invoices which include quantities for each item.  When I switch to the Packing slip template it brings over the descriptions but not the quantities and it will not allow me to enter the quantities.

If I start with the packing slip - it doesn't bring the quantities over to the invoice.

I have both boxes checked but still don't get the quantities to transfer over - everything else on the invoice is there.

Re: Transferring Quantities from Invoice to Packing slip

Hello there, @RMMetals.

Let's verify and rebuild data so that you can transfer quantities from the invoice to the packing slip in QuickBooks.

In the meantime, there are common reasons to use the Verify and Rebuild.

  • Fatal errors when you use QuickBooks Desktop.
  • Discrepancies on reports, such as invoices or bills that post with negative values.
  • Deposited payments show up in the Payments to Deposit window.
  • Balance sheet reports do not show all accounts.

Here's how:

  1. Choose Window then Close All.
  2. Verify Data. Choose File then Utilities. Select Verify Data.
  3. QuickBooks detected no problems with your data, no further action is needed.
  4. A specific error message, there may already be an article for it. Try searching for it in our QuickBooks Desktop support site for specific instructions.
  5. Your data has lost integrity," indicates there is data damage in the file. Continue to the steps below to Rebuild Data to correct the problem.
  6. Choose FileUtilities then Rebuild Data.
  7. You will receive a warning message to backup your company file, press OK.

What year and version are you using?

Just to be sure, when you checked in customize forms, you insured that the packing slip form was the one being customized?

I am using QB Desktop Pro 19

I have both boxes checked on my customized form. Everything else transfers from the invoice - except for this column.  Do I maybe need some permission to do this?

Thanks for the screenshot, RMMetals.

We need to make sure to select the correct packing slip template before printing one. You can follow these steps to make your customized template default. This way, the Quantity column will appear:

  1. Go to Edit menu and select Preferences.
  2. Select the Company Preferences tab.
  3. On Miscellaneous section, select the correct packing slip template.
  4. Click on OK to save it.

Once done, let's try to print or view a packing slip if it works.

Another solution I can provide is to troubleshoot your PDF to fix printing problems. This help to fix any error when printing or viewing the form.

You'll want to check this article for more details: Troubleshoot common issues when using and customizing templates.

Hope this helps. Looking forward to assisting you again.
