what user role in QBO can enter expenses, pay bills, and invoice customers but not see the bank balance

QBO - Does anyone know a user setting that will allow a user to enter expenses, pay bills, and invoice customers but not see a bank account balance?  For example, when they enter an expense, instead of choosing the credit card expense account from the drop down, they can choose checking account and the balance shows.

You can signup for a separate Melio account for free as a workaround to integrate with QBO. Your team will be able to manage bills and you can manage the approval process for paying them. They don't need to access to QBO account directly. If you run a B2B company, you can also use it for invoicing purposes to clients.

what user role in QBO can enter expenses, pay bills, and invoice customers but not see the bank balance

Hello, AND.

Entering expenses, pay bills and invoice to our customer without the bank balance showing isn't possible.

QuickBooks Online (QBO) has the ability to add multiple user types to be able to give different access, limiting each user to what he or she can view and change.

Full access users will be able to access everything for customers, sales, vendors, and purchases.

They can also:

  • View all reports.
  • View the activity log.
  • Change account preferences.
  • Add, edit, and delete accounts.
  • Create, edit, and delete budgets.
  • Add, edit, and delete employees.
  • Make deposits and transfer funds.
  • Manage sales tax data and settings.
  • Reconcile accounts and create journal entries.
  • Access and manage aspects of currency and multicurrency.

I've included a link you can visit for more details about what we allow in QuickBooks: User roles and access rights in QuickBooks Online.

Additionally, let me share this relevant resource you can utilize to help setup, manage, or delete user profiles: Add and manage users in QuickBooks Online.

Aside from that, I also want to give you additional references in case you might need them when managing users in QBO:

Please feel free to get back to us if you require any additional information about access roles. We're always here to help. Have a great day!
