Will custom field information that is entered at the customer level update to be included on all past information/transactions within that customer?

We've added some custom field data at the customer level. The information pre populates on new transactions I create (new recurring templates, new invoice etc). However, the information isn't applied to past invoices, already created recurring transactions etc. Is there a way to have this update? The custom fields don't do much good if we have to update all retroactive data transaction by transaction...

I have some information to share with you, @akr2.


When adding custom data fields at the customer level, the information will only populate to the newly created transactions. The past entries will remain the same to prevent changes for your past financial reporting.


If you want to update the past invoices and recurring transactions, you’ll want to edit them manually. Otherwise, you can create a journal entry to adjust them in bulk. This only applies if they have something to do with the total amount. Before that, I'd suggest consulting your accountant for further guidance on how to handle this. Then you can follow the steps below:

 

  1. Select the + New button.
  2. Choose Journal entry.
  3. On the first line, select an account from the Account field. Depending on if you need to debit or credit the account, enter the amount in the correct column.
  4. On the second line, select the other account you're moving money to or from.
  5. You can enter information in the memo section. This way, you'll know why you made the journal entry.
  6. Click Save and close.


You might want to read this reference to find transactions in your account registers so you can review or edit them. This provides filtering and sorting tools that speed up your search to make quick edits.

I appreciate the reply and in theory love the concept of the custom fields.

 

However, the custom fields being utilized are strictly for data reporting. They don't actually impact the financials that are reported they are simply offering more beneficial ways to filter and analyze the financial data. 

 

Not having the ability to apply these fields to past transactions is a major hinderance. The only options are then to only analyze the financial data in this new way moving forward OR to go into each individual transaction across multiple years and 1000's of customers and edit the custom fields there. As historical financial data is necessary for identifying trends and true analysis I feel this is a major oversight.
