Fix store exchange errors in QuickBooks Point of Sale

Learn how to fix store exchange errors in QuickBooks Point of Sale.

If you get an error when running store exchange, don’t worry. We’ll help you fix it so you can stay updated with the transactions from each of your remote stores.

Follow the steps below based on the error message you see.

Error -193: Primary key for dept keywords is not unique

Make sure there’s no duplicate customers in your data.

  1. Find and merge duplicate customers from each location.
  2. Run the Clean Up Company Data.
  3. Run a store exchange.

If you still get this error, proceed to the “Other fixes for store exchange errors” section.

Error 175305: Errors were encountered

Make sure to set up the correct firewall access for your QuickBooks Point of Sale so store exchange can run smoothly.

  1. Log in to your computer as a user with admin rights.
  2. Add QuickBooks Point of Sale ports to your firewall.

If you still get this error, proceed to the “Other fixes for store exchange errors” section.

Error code 175411: You have entered a license number which is already used by another store

This happens when multiple remote stores use the same license number. Here’s how to fix this.

  1. From the File menu, select Preferences, then Preferences.
  2. Select I Want To... ▼ dropdown and then Reset to Default Setting.
  3. Select Yes.
  4. From the Muti-Store ▼ dropdown menu, select Store Exchange.
  5. Select Configuration tab, then Configure button.
  6. Select Save.

If you still get this error, proceed to the “Other fixes for store exchange errors” section.

Error code 175414: An error detected while copying file to %s for %s

Follow the steps depending on where you see the error.

Headquarters

  1. Close your QuickBooks Point of Sale.
  2. Right-click the QuickBooks Point of Sale icon on your desktop, then select Run as Administrator.
  3. Run a store exchange.

Remote Store

  1. Open an internet browser to make sure your internet connection works.
    • If you still can't connect to the internet, reach out to your service provider or an IT professional.
    • If you can connect to the internet using your browser, the problem may be with your Windows user permissions. You can create a new Windows user with admin permissions.
  2. Run a store exchange.

If you still get this error, proceed to the “Other fixes for store exchange errors” section.

No files waiting to be processed, select close to exit

Solution 1: Verify the source of your mailbag

  1. From the Stores menu, select Store Exchange Center.
  2. In the Activity Log section, select View. If the mailbag starts with HQ, proceed to steps 3-5. If it starts with RS, skip to Solution 2.
  3. On the Remote Store company file, select File.
  4. Select Preferences, then Company.
  5. Select Multi-Store and then Change to Remote Store.
  6. Resend the mailbag from the remote store and run another store exchange in the headquarter’s computer.

Solution 2: Add Point of Sale ports to your firewall

If you still get this error, proceed to the “Other fixes for store exchange errors” section.

Store Exchange password does not match password in preferences

Here’s how to make sure you use the same password in all of your stores.

  1. From the File menu, select Preferences, then Company.
  2. From the Multi-Store ▼ dropdown menu, select Store Exchange.
  3. Select the Options tab.
  4. Select Change Password.
  5. Create identical passwords for all of your stores.
  6. Run another cycle of store exchange.

Other fixes for store exchange errors

If you still get the same error, we have these additional steps to help you.

Solution 1: Toggle the store exchange communication method

  1. From the File menu, select Preferences, then Company.
  2. From the Multi-Store ▼ dropdown menu, select Store Exchange.
  3. Take note of the current preference.
  4. Select Not Used for each store and select Save.
  5. Re-open the Company Preferences window.
  6. Re-enter the original company preference for each store's communication method and select Save.
  7. Run another cycle of store exchange.

Solution 2: Run the Clear Store Exchange stex tool

Make sure to do these steps in your headquarters store and in all your remote stores.

  1. Download the Clear Store Exchange stex tool.
  2. Unzip the file to your desktop.
  3. Double-click to run the file.
  4. Run another store exchange.

Solution 3: Reset the password for all stores

Make sure to use the same password for all of your stores.

  1. From the File menu, select Preferences, then Company.
  2. From the Multi-Store ▼ dropdown menu, select Store Exchange.
  3. Select the Options tab.
  4. Select Change Password.
  5. Create identical passwords for all of your stores.
  6. Run another store exchange.

Solution 4: Perform 3 complete store exchange cycles

Run a store exchange three times for each of your remote stores to make sure no information is left out.
