Create and manage returns in QuickBooks Commerce

Learn how to create and manage sales order returns in QuickBooks Commerce.

You can only create returns for fulfilled shipments or sales order. Learn more about sales order status.

Once within a shipment or sales order, the return process is the same. We’ll show you how.

Note:
  • If the sales order was paid through B2B Payments, here’s how to process a refund.

Create a sales order return

Here’s how to create a sales order return.

  1. Go to Sales Order, then select Orders.
  2. Select All tab, then select the sales order you want to create a return for.
  3. On the Returns section, select Manual to make a partial return. To return the whole order, select Return All.
  4. (For partial return) Fill in the return details like Qty Returned.
    (For partial variant return) Fill in the return details like Qty Returned.
  5. Select Create.
  6. (For batch variant returns) Select which batch to return the variants to, then select Create Return.
    Note: You can only select batches sold in the sales order.

Once created, the return status changes to “Returning”. This doesn’t adjust your stock levels at this point.

Review sales order returns

Once you received the products, here’s how to review and change their return status.

  1. Go to Sales Orders, then select Returns.
  2. Select the returned order.
  3. Select Receive. This adjusts your stock levels.

You can preview a credit memo for the returned items before and after you receive a return. Note that this is only intended for Xero or QuickBooks Online accounting sync purposes. Here’s how sales order returns affect Xero and QuickBooks Online.

You can also view a credit memo. Just search for the credit memo number in the sales order search box.

Manage sales order returns in bulk

If you have multiple sales order returns to manage, here’s how you can do it in bulk.

  1. Go Sales Orders, then select Returns.
  2. Select the checkbox next to CREDIT MEMO #. This displays the actions you can do in bulk.
  3. From the Bulk Actions dropdown menu, select an action.

Send a return to a different stock location

You don’t always need to send returns to their point of origin. One of the reasons you may want to do this is to quarantine products for inspection before you can add them again to your inventory, or write them off.

Here’s how to create a quarantine location in QuickBooks Commerce:

  1. Go to Settings, then select Company Details.
  2. Select Add Location, then fill out the details.
  3. Select Create.

Here’s how to create and send the return to a different location:

  1. Go to Sales Order, then select Orders.
  2. Select All tab, then select the sales order you want to create a return for.
  3. On the Returns section, select Manual to make a partial return. To return the whole order, select Return All.
  4. (For partial return) Fill in the return details like Qty Returned.
  5. From the Return To dropdown, select the quarantine location.
  6. Select Create.

Once you change the return status, the stock appears at the quarantine location.
