Set up seasonal employees

Learn how to set up seasonal employees in QuickBooks Desktop and Maine employees in QuickBooks Online.

If your state requires you to track your seasonal employees, here's a quick guide to help you.

QuickBooks Desktop Payroll

  1. Update your QuickBooks Desktop and Payroll subscription.
  2. Go to Employees, then select Employee center.
  3. Select New employee on the upper left.
  4. Fill out all the information needed for your new employee.
  5. Select Employment info, then Employment.
  6. Under Employment details, next to Seasonal choose Yes from the drop-down.
  7. Select OK.
  1. Go to Employees, then select Employee center.
  2. Select the name of your seasonal employee.
  3. Right-click the name of the employee, then select Edit employee.
  4. Select Employment info, then Employment.
  5. Under Employment details, next to Seasonal choose Yes from the drop down.
  6. Select OK.

Online Payroll

Mark employee as a seasonal employee in Intuit Online Payroll Enhanced, Intuit Online Payroll Full Service, QuickBooks Online Payroll Enhanced, QuickBooks Online Payroll Core, QuickBooks Online Payroll Full Service, QuickBooks Online Payroll Premium, and QuickBooks Online Payroll Elite.

Note:
  • Online payroll supports seasonal employees if the work location is in Maine.
  • If you are a registered seasonal employer in Maine, you will have two account numbers. You must file the ME UC-1 for your seasonal employees separately so you can report their wages to the state. Non-seasonal employees will continue to be listed on the ME UC-1 form.
  1. Select the Employees tab.
  2. Select the employee's name from the employee list.
  3. In the Employment section, select Edit.
  4. Select Seasonal.
  5. Select OK.
  1. Go to Workers or Payroll menu, then select Employees.
  2. Select the employee.
  3. Select Edit Employee.
  4. Select the Employment tab.
  5. Select Seasonal.
  6. Select Done.

All Payroll Services

No, only registered seasonal employers in Maine should mark their employees "seasonal".

Intuit Online Payroll Full Service, QuickBooks Online Payroll (all versions), DIY Desktop Payroll

In this case, your company may not be registered as a seasonal employer. You will need to amend your original filing with the correct non-seasonal account and resubmit the filing. For more information check with the agency at the state website.
