940 annual and 941 quarterly reports were created and printed, yet they still appear undone.

I created and printed my 2018 annual 940 and 4th Quarter 941, yet they still appear in the "create forms" list. I am using QuickBooks Desktop 2016 and have not had this problem before. How do I get QB to realize they have been printed and processed?

Thank you for joining the Community. I'd be happy to help share some information about the "create forms" list in QuickBooks Desktop.

 

The File Forms or "create forms" section list all of the active Federal and State forms you've chosen. That's why the 940 and 941 reports still appear after you created and printed them.

 

The historical payroll tax forms is shown under Filing History. Please take note that you need to save or archive the forms before printing so that they'll show in this section.

If you need further help, feel free to reach out to our Payroll Support. They can help you get to a resolution in no time.

 

Here's how you can reach them: 

  1. Go to http://payroll.intuit.com/support/contact/.
  2. Select your Payroll Subscription type.
  3. Click Payroll.
  4. Click on the View Contact Info button to get their contact number.

That should get you back on track.

QB doesn't tell you if they're done.  You can see the history of what you've done in the middle table on the payroll center.

I thought the list under File Forms refreshed so that the next form due would appear at the top of the list. I must have been dreaming. I've been using QuickBooks since about 1996 so I should better by now. Thanks for your help.

It does but not based on you creating a form. I'll update once the system date passes the current form's due date.
