Changing SUI payments and dates

Our SUI payments for the 2nd and 3rd quarters were overlooked and an interest charge was incurred.  Both quarters were filed today but when I archive the forms to record the payments, the payment date is showing as the original due date.  I also don't see where I can go in and add the interest payments.

Changing SUI payments and dates

Hello there, Lisa617.

Thank you for joining the QuickBooks Community. I'd be happy to help share some information about recording payments for SUI.

Currently, QuickBooks Online does not track penalties and interest. However, you can record the payments manually and edit the payment date.

Here's how:

  1. On the left pane, select Taxes.
  2. At the top left, select the Payroll Tax tab.
  3. In the Payroll Tax Center, click Pay taxes.
  4. Find the tax you want to pay, then click the Record Payment link in the AMOUNT column.
  5. Change the Payment Date
  6. Review the information on the payment.
  7. Click Record Payment

I've added some screenshots and articles for your reference.

Also, I'd recommend consulting your accountant to provide you with more expert advice about recording your interest payments. If you need to reach out for more help, our phone agents will be able to help you get to a resolution quickly.

Stay in touch if there's anything else I can help you with recording SUI payments. I'll be happy to help you out.

Changing SUI payments and dates

Hi there, @cc2930.

If you received a notice from the state agency, you can directly go to the Payroll Settings and update the rate and date there. If not, you'll only be allowed to delete or edit the rate if you haven't created paychecks using the wrong one.

Here are the steps to edit the state unemployment rate in QBO:

  1. Click the Gear icon.
  2. Under Your Company, click Payroll Settings.
  3. Select the State Tax.
  4. In the State Unemployment Insurance (SUI) Setup section, click Change or Add new rate.
  5. Refer to your notice from your state and enter your new rate. If the rate is provided as a decimal, you must enter it as a percentage. For example, enter 3.4% (not .034).
  6. Enter the Effective Date provided in the notice from your state.
  7. Select OK.

If there's a tax overpayment after changing the rate, it will be displayed as a negative amount of the tax owed. When this happens, you can contact your state unemployment agency to confirm that the tax was overpaid. This way you'll be given options whether to apply the credit to future debt or refund it to your account. Then, you can give us a call to assist you with reconciling the credit.

You can also refer to this article for more details about changing the SUI tax rates.

If you need anything else, please let me know. Thanks for dropping by.

Changing SUI payments and dates

What is the date that you change the SUI rate.  Is it January 1st?   Or, do you wait till after January 31st?

Welcome to the thread, @cabinetsexpress.

The date that should be entered into the system when changing the SUI rate is the effective date stated on the notice.

To update SUI information successfully, kindly check if there's a rate set up on that specific date. It could be the reason why you're getting the error message. If none, let's try opening your account in a private (incognito) window. Using a safe browser and accessing the program from there can usually fix the issue.

Check out these keyboard shortcuts:

  • Command + Shift + N (Safari)
  • Ctrl+ Shift + N (Google Chrome)
  • Ctrl + Shift + P (Mozilla Firefox)

Once done, try to update the rate again by following the steps provided by my colleague above. You can also see this article for more details: Update your State Unemployment Insurance (SUI) rate in QuickBooks or Intuit Payroll. If it works, go back to your default browser and clear cache. See Clear cache and cookies to fix issues when using QuickBooks Online for more information.

Otherwise, switch to a different browser like Firefox, Google Chrome, or Safari. The one you are currently on may be having a temporary issue with QuickBooks, and using a new browser for the moment will allow you to get back to work.

If the issue persists, I recommend reaching out to our Support Team for further assistance. They have tools like screen-sharing that will help check the root cause and find a permanent solution to this issue.

Check out this link for ways on how to connect with us: Contact the QuickBooks Online Customer Support team. Ensure to review their support hours so, you'll know when agents are available.

Please let me know how it goes. I'll be looking forward to hearing back from you. Have a great day!
