Federal Tax Penalty

I missed a payment because I missed the notification to change my PIN. Now I have a penalty to pay and I need to know how to create a payment in QB so I can pay it using EFTPS.

Good day, Fiber_Guy.

 

You can include the penalty when you process the liability payment in QuickBooks. I've got the step by step instructions here: 

 

  1. Go to Employees > Payroll Center Pay Liabilities tab.
  2. Under Pay Taxes & Other Liabilities, select the liability you want to pay.
  3. Click the View/Pay.
  4. In the Liability Payment window, click the Expenses tab.
  5. From the Account drop-down menu, select the expense account for penalties or choose the Add New option and add the expense.
  6. Enter the amount and all the necessary information. Then, make sure to select the E-payment option.
  7. Click the Recalculate button, and then hit Save and Close.

You can also pay the penalties by visiting the EFTPS website.

Renjolyn,

 

  1. I cannot select the liability I want to pay, it has already been paid. Penalty is in addition to that payment and there is no available box to check in the Pay Liabilities window.
  2. I tried to Create a Custom Liability Check and was successful only in that I now have a payment call E-PAY in my check register.

 

I need to create a payment that appears in my PAY Liabilities window that I can select then E-PAY as I normally would pay a scheduled liablity. So far I have done this in the past but the procedure has been lost.

I'll make sure that you can pay your liabilities, Fiber_Guy.

 

We can no longer select that liability since you already paid it. To fix this, we'll have to check the e-pay status of the liability  first. I'll guide you how:

 

  1. Select Employees from the top menu bar.
  2. Choose Payroll Center.
  3. Select the Pay Liabilities tab.
  4. In the Payment History section, click the E-Payments tab.
  5. Check the status of the payment in the STATUS column.
  6. You can also click View in the Audit Trail column for more details.

If the status of that payment is Agency accepted, this means that the e-payment was successfully processed by the agency and the transaction is already complete. Then, we'll have to pay your penalty directly to the EFTPS website.

 

If the status is still Submitted to Intuit, we'll have to void that liability check. You can follow the steps below:

 

  1. Select Employees from the top menu bar.
  2. Choose Payroll Center.
  3. Select the Pay Liabilities tab.
  4. In the Payment History section, click the E-Payments tab.
  5. Locate then double-click the payment.
  6. In the pop-up window, select Void from the Delete drop-down arrow.

Once done, you can now process the liability payment and penalty by following the steps above provided by RenjolynC. Aside from this process, we can also include the penalty to your next liability payment if you wish to.

Federal Tax Penalty

We're "beating around the bush" here. I have no payroll payments due at this time. All of my previous payments have been accepted by the agency. When CA was a Credit Reduction state we had to make an additional payment every year starting in 2017. My accountant had an assistant at that time that was able to send me detailed instructions to add that payment to the Pay Taxes and Other Liabilities window so that I could select it, then select View/Pay button and proceed with the normal EFT payment. That info has been lost. How do I add a payment to the Pay Liabilities window???

The steps provided by my colleagues above are accurate for recording penalties, however it seems your case is unique. I recommend getting in touch with our QuickBooks Desktop Payroll Support Team, as they'll be able to share your screen and walk you through the whole process. Find the steps for contacting them below.

 

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Give a brief description of your issue, then hit Continue.
