How can I tell if my '24 W-2 was successfully filed using QB Online Payroll? My 941 is confirmed, but nothing appears for W-2 in Taxes>Payroll Tax>Filings or in Archived.

I can't tell if my 2024 W-2 was successfully filed using QB Online Payroll. My 941 is confirmed, but nothing appears for W-2 in Taxes>Payroll Tax>Filings or in Archived. How can I file the W-2 now?

When Automated Taxes and Forms is activated in QuickBooks, they will essentially handle the filing of your federal and state payroll taxes automatically. This useful feature also allows you to easily see which payroll taxes have been successfully filed through QuickBooks.

 

Since you mentioned that only the 941 forms have been filed, it seems that the automated taxes and forms feature may have been disabled, indicating that you have manually filed this yourself. It appears you might also have missed filing the W-2 forms.

 

To fix this, I'm here to help you file again your W2 forms. The process you'll need to follow depends on the number of employees you have:

 

  • If you have fewer than 10 employees, you can manually file your W-2 forms by printing and mailing them to the IRS.
  • For more than 10 employees, IRS regulations require that you e-file the W-2 forms.

 

Here's how to E-file your W-2 through QuickBooks: 

 

  1. Navigate to the Taxes menu and select Payroll Tax.
  2. Click on Year- End Filing.
  3. Choose W-2 Copies A & D (employer) and then click on File.
  4. Select Annual Forms, followed by W-2 Copies A & D (employer). Then, click Continue.
  5. If prompted, indicate whether one or more employees were active participants in a retirement plan during the tax year.
  6. On the Employer Copies: Form W-2 page, click on View to open the form in Acrobat Reader.
  7. Review and print Copy D (Employer's copy) for your records.
  8. Click Submit to authorize us to electronically file Copy A of Form W-2 on your behalf.

Automated Taxes and Forms is set to "Off"

My business is a single-person S-corporation and I am the only employee.

Quickbooks does not show any option to File W-2 in the area you directed me to.  It only shows that the 941 and state forms were accepted.  Quickbooks has created my W-2's that are printable, which I found through the search function.  However, I still need assistance to file the W-2 electronically.  Please help?

If you have already filed the W-2s through QuickBooks Online (QBO) but they are not showing up as filed, let's first perform a simple troubleshooting step to identify the root cause of this issue.

 

Here’s a quick guide to opening incognito mode in your browser, tailored to your browser type:

 

  • Microsoft Edge: Ctrl + Shift + N
  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N


If the error does not occur in incognito mode, it is likely caused by your browser's cache and cookies. To resolve this, issue from your browser settings and try the process again. If the issue persists, consider switching to a different supported browser for an improved experience.

 

For your future filings, even if you have fewer than 10 employees, you can still use electronic filing by turning on the Automate taxes and forms feature. This will allow QBO to automatically pay directly through the IRS.
