Thanks for reaching out to us here in the Community. I'm here to help fix the issue you're having with the inactive taxes.


Are you referring to an inactivated Sales Tax agency in QuickBooks Online (QBO)? If so, once a sales tax has been inactivated, it would be automatically removed from the tax list. To verify if the issue has something to do with your browser, try logging into your QBO account through the Private browser mode.


Here are the different keyboard shortcuts to open a private browser:

  • Google Chrome: Press Ctrl + Shift + N
  • Mozilla Firefox: Press Ctrl + Shift + P
  • Internet Explorer: Press Ctrl + Shift + P
  • Safari: Press Command + Shift + N

If it works fine, you can go back to your regular browser and perform clear cache to remove temporary internet files on your computer. Please follow the outlined steps in this article depending on the browser you're using: How do I clear my browser cache and temporary Internet files?

I am using QB Desktop Premier 2022 and when I'm in an invoice and select the Tax dropdown, my inactive accounts are still showing up.  Is it also possible to inactive the Sales Tax items and keep the Sales Tax groups active?  The list is very long and I would like to only see the groups when entering invoice.

I can share some information about how tax codes and tax items work, CCAT.


In QuickBooks Desktop, the inactive sales tax codes shouldn't show in the Tax drop-down. It's possible that there's a data integrity issue in your company file causing the program to populate the inactive ones. 


To rule this out, you can run the Verify and Rebuild utilities. This will scan your company file for potential data damages and fixes them right away. Here's how:


  1. Click Window, then select Close All.
  2. Go to the File menu, then select Utilities
  3. Choose Verify Data.

If the program didn't detect any issues with your data, then no further action is needed. If you receive an error or found out that your data has lost integrity, you'll have to rebuild your data to correct the problem. I'll show you how:


  1. Go to the File menu.
  2. Select Utilities, then choose Rebuild Data.
  3. Follow the on-screen instruction to back up your file.
  4. The Rebuild Data utility starts as soon as the backup is finished.
  5. Click OK when you get the Rebuild has completed message.

With regard to your second question, we're unable to deactivate the sales tax items and keep the sales tax groups active. You'll need to select the item individually when creating your invoices.
