Good morning,
QBO handles my taxes and in January the Maine FMLA will come into play. Base on our employee count we are a small company so the total payout for the employee is half of 1% of wages. We have one employee who works in Florida and one in Alabama and we pay state taxes (where applicable) in those states for both employees.
1. Does this mean that only employees who we pay state taxes for in Maine will be included in this deduction?
2. You handle our payroll taxes. Is there anything I will need to do prior to January 1st so we will be ready for this deduction?
Thank you

Let’s address your questions one by one to ensure you’re prepared for the upcoming changes.
1. Accessing Payroll Compliance Tax and News Alerts: When will I see this information in Payroll > Compliance > Payroll Compliance Tax and News Alerts?
The information regarding state-specific payroll compliance changes, such as the Maine FMLA deduction, is generally updated by QuickBooks to ensure compliance with state regulations. Typically, such updates are rolled out close to the effective date of the new laws, but it’s also advisable to keep an eye on this section regularly.
2. Updating Payroll Settings for Maine FMLA Deduction
QuickBooks Online will integrate the necessary payroll updates to comply with new regulations, including the Maine FMLA deduction, in a timely manner. Let me provide details about the deductions for employees in different states and ensure your payroll is set up smoothly for the upcoming changes, @Lisa2112.
To begin, QuickBooks operates in accordance with the State and IRS regulations. Typically, payroll taxes such as state and local withholdings are determined by the employee's residence and work location, with variations in calculation and reporting based on the specific laws of each state. Furthermore, some states have reciprocity agreements. You can refer to the article on multistate employment payroll situations to determine if such an agreement exists between the states where your employee works and resides. In the meantime, I suggest reaching out to your state agency to confirm whether employees working in different states are subject to the deduction and to understand any necessary documentation required before tax filing.

Thanks for notifying us about the Main FMLA deduction and multistate payroll concerns, @Lisa2112. If you have further questions or require assistance, please don't hesitate to come back here in the Community,
I will look into this question with my state but I do have a few additional questions.
1. When will I see this information when I navigate to Payroll>Compliance>Payroll Compliance Tax and News Alerts? This deduction begins in January.
2. I am assuming there will need to be an update to Payroll setting where I need to make choices due the below explanation of how this tax is paid. When will I be able to see this in QBO?
For calendar years 2025-2027, the combined contribution rate is set at either 0.5 or 1 percent of
wages based on the size of the employer. Employers with 15 or more employees will contribute
1 percent of wages and may deduct up to half of the contribution from the employees’ wages.
Employers with less than 15 employees will contribute 0.5 percent of wages and may deduct the
entire amount from the employees’ wages.
Thank you
