Missing Employees on W2 Preview

Hello, 

 

I am previewing the W2 forms for my employees. However, we have added new employees in Sept and October this year. When I pull the preview, I don't see the new employees on the preview list of W2s. I have all their updated information, correct SSN, etc. One of them is part time and the other is full time. Is there something I'm missing?

You mentioned that these two missing employees are newly added to payroll starting September and October this year. As an insight, the available preview information includes year-to-date wages for any payroll transmitted through September 30 regardless of the payroll check date. 

 

Hence, this is why they're not showing in the preview. But don't worry, they'll still receive a W-2 year-end. Check out this article for more details: When are Preview W-2 copies available?.

Thanks for bringing your question forward here in the Community. I'd be glad to provide some info about viewing the employee W2 preview in your QuickBooks Desktop account.

 

Since you mentioned that only two of your employees aren't appearing on the preview list, I recommend first resorting the list to locate any potential errors. Here's how:

  1. From the Edit menu, select Find.
  2. Select the Advanced tab.
  3. From the Filter list, select Name.
  4. Select the Name ▼ dropdown, then press Ctrl+L on your keyboard.
  5. Select the Include Inactive checkbox. If it's grayed out, there are no inactive names.
  6. Select the Name ▼ dropdown, then select Re-sort List.
  7. Select OK.
  8. Close and reopen your company file.

If you're still unable to see all of your employees in the W2 preview, you may need to run what's called a rebuild and verify to check for any possible data damage. This article provides the steps to get started: Resolving Potential Data Issues

Thank you @MorganB  for your prompt response. 
I did all the things as you recommended and I was still unable to populate the two missing employees in the W-2 preview. I've been able to run payroll with them with no issues.
