Help with clearing a '18 Q3 Employee Tax liability when payment was already made

Hello,

 

I'm new to QB Desktop Pro with payroll services and just started my new job on Wednesday.  The person that had the job before me left and had paid prior quarters taxes but didn't do it thru the Pay Liabilities option.  Just recorded the payment in the Bank Register.

 

I am going into QB Desktop Pro and there is a 2018 Q3 State Unemployment Liability that is overdue because the previous bookkeeper paid it outside of the normal QB process.  How do I clear the 2018 Q3 liability as the transaction is already paid and recorded thru the entry in the bank register?

I'm glad to help you clear the your State Unemployment Liability, FMJS.

 

Since this was paid outside QuickBooks, you can create a prior payment for this tax. Just be sure to set the For Period Ending date on September 30, 2018 (last day of Q3), so it affects your payroll liability in the third quarter of 2018.

 

Here's how:

  1. From the Help menu, choose About QuickBooks.
  2. Press Ctrl + Alt + Y or Ctrl + Shift + Y to open the Setup YTD Amounts window.
  3. Select Next until you reach the Enter prior payments section.
  4. In the Enter Prior Payments window, select Create Payment button.
  5. Enter the Payment Date and For Period Ending date (9/30/2018).
  6. Select your state unemployment tax in the ITEM NAME and enter the amount due in the AMOUNT field.
  7. (Optional) Enter a memo on the same line for your reference. You can enter the transaction number of the payment that shows in your bank register or something like Payment made outside QuickBooks / Checking / REF#: XXX - by [name of the user].
  8. Click on Accounts Affected.
  9. Choose Affect liability accounts by not the bank account. You choose this since the payment is already in your bank register.
  10. Click OK, and click Done in the previous window, the click Finish in the Set Up YTD Amounts window.
