Hi there, @Girlie2. The simplest way to view your Sales Tax Returns for prior years in QuickBooks Online is to go to All Apps, then select the Sales Tax section. From there, open the Sales tax returns page, and use the filters to display the specific returns you’d like to see.

My QBO Sales tax page says any date prior to Jan 2025 is invalid, but I need to check the 4th qtr 2024 tax liabilities to correct an amount.

 

How do I see sales tax info for any year prior to 2025?

This doesn't work if you're looking anything past the beginning of the prior year.

 

When I enter any date prior to Jan 2025, it says invalid date.

How to view Sales Tax Returns for prior years?

You won’t be able to view them in the main Sales Tax page because QuickBooks regularly updates its automated sales tax system. Each update resets the page to show only the most recent year of active data.

 

However, you can view it by running a report instead of using the Sales Tax page. Here is how:

 

  1. Go to the left menu and select Reports > Standard Reports.
  2. In the search bar, type Sales Tax Liability Report and select it.
  3. At the top of the report, change the date filter to Custom, enter your prior year dates, and click Run report.

From there, you can correct the amount by clicking the specific transaction.

Problem is the incorrect amount is in the payment of the sales tax, not an individual transaction.

 

I need to adjust the amount paid in QBO by $7, which can't be done from the report page.

 

I can't change the transaction amount in the checking register to match the actual amount deducted

You're correct—you cannot adjust the amount directly from the report page. Instead, you'll need to create a sales tax adjustment in QuickBooks Online (QBO).

 

First, you need a dedicated account to categorize the adjustment. To do this, switch to Accountant View and follow these steps:

 

  1. Go to All apps, select Accounting, and click on Chart of accounts.
  2. Select New.
  3. Under Account Type, choose Income (to decrease tax due) or Expenses (to increase tax due).
  4. Select the Detail Type (e.g., Sales of Product Income for income or Taxes Paid for expenses).
  5. Name your adjustment account and select Save and Close.

 

Once the account is set up, you can apply the adjustment:

 

  1. Navigate to Sales tax, choose the relevant tax agency, and select the return period you want to adjust.
  2. Select View summary, then click Add adjustment to books.
  3. Choose the appropriate Reason and enter the Adjustment date.
  4. Select the account for adjusting sales tax from the Account dropdown menu. Choose an income account (to decrease tax due) or expense account (to increase tax due).
  5. Enter the Adjustment amount and select Save.

Do you guys even read the previous questions? I CAN'T ACCESS THE SALES TAX PERIOD PRIOR TO JAN 1 2025.

 

So, while I would normally follow your steps with no issue, I'll repeat the problem I'm having:

 

I CAN'T ACCESS THE SALES TAX PERIOD THAT NEEDS ADJUSTMENT IT IS PRIOR TO JAN 1 2025

 

There must be a way to access the past periods. Please tell me how.
