Prior Year 941 Return

I just received a notice from the IRS that I didn't file a 941 for the third quarter of last year, I thought I had.  When I go to prepare one now in Quickbooks, the program tells me I can't do it because Quickbooks is using the current year and doesn't have 2018 forms anymore.  I tried filing with this noted but I can't file because there is an error due to the year being 2019.  I have to file electronically per the IRS.  How can I get this filed?

A warm welcome to the Community, dph

I'm here to provide and help you file your 941 return electronically for the third quarter last year.

Since we can no longer E-file the 941 Return beyond the due date, in order to file this electronically, you'll need to get the information in QuickBooks and file the form through the IRS website.

Just go to https://www.irs.gov/filing/free-file-do-your-federal-taxes-for-free.

These articles are a good reference:

If you require additional help with filing 941 Return electronically, please let me know. I'll be around to help.

Re: Prior Year 941 Return

Hi there, @Anonymous.

Thanks for joining this conversation. Allow me to step in for a moment and help make sure this is taken care of.

Just to clarify, are you referring to your 941 forms as well? Did you file it electronically? If so, this would require us pulling up your account to verify the status of the forms you filed which we're unable to do it here in the Community for security purposes. We don't want your personal details to be exposed in this public forum.

That being said, I highly suggest contacting our Support Team. They have tools that can pull up your account in a secure environment. You can check out this article for the detailed steps on how to reach them: Contact the QuickBooks Desktop Customer Support Team.

For future reference, you can also check out these articles for further guidance:

That should get you going in the right direction. Please let me know how it goes after contacting them or if you're referring to something else. I'll be here if you need further help. Take care and have a great rest of the week!

Re: Prior Year 941 Return

A warm welcome to the Community, @CCA1.

I appreciate you joining us in this thread and for sharing your experience about your 941 filed last year. I'd be happy add some inputs to check your filed forms in QuickBooks and to get you to the right support to get this resolved.

Since processing times vary from agency to agency, it'd be best to contact our phone agents. They have the tools to check why you received a notice from the IRS and verify the E-File status in your account.

You may refer to my colleague's post to get their contact information.

If you e-filed the 941 form, you can double check its status in QuickBooks:

  1. On the left pane, select the Taxes menu.
  2. Select Payroll Tax
  3. Under Forms, click View and Print Archived Forms.
  4. Find the form and check the archived data and E-Filed status.

For future reference, I'd also recommend you visiting our Blog to learn what new updates are being rolled out, as well as additional references while working with QuickBooks.

That should point you in the right direction. Please let me know how the call goes or if you have any other questions about payroll. I'll be happy to help you out. Have a wonderful day.

Re: Prior Year 941 Return

I've just received this notice as well, and am experiencing the same problem. The IRS website you linked in this reply only deals with year-end income tax filing, unless I'm missing something. Can you provide a more detailed process to file a 3rd quarter 2018 federal 941?

Re: Prior Year 941 Return

Hi there, MistiR1.

Thank you for joining us in the Community. I'm here to make sure this is taken care of and get you to the right support.

Since you're also receiving a notice from the IRS about last year's 3rd quarter federal 941 filings, I recommend reaching out to our Payroll Support. They have the tools to assess and update your account in a secure environment.

Also, if you want to process a tax form in a prior year, you can follow the options below:

  1. Manually download or print a copy from the agency website.
  2. Find the saved payroll tax form in the Archived Forms section
  3. Use the wage and tax amounts to fill out manually the prior year form.
  4. Run Payroll Reports in QuickBooks for the filing period you need and use them to fill out manually the prior year form. Examples of payroll reports: Payroll Details, Payroll Summary, and Payroll Tax and Wage Summary.

That should point you on the right track. I'm just a few clicks away if you need more help with your payroll forms. Have a great day ahead.

I have a notice from the IRS that I didn't file 941 for period June 30, 2016 and September 30, 2017. How can I file these forms?

Re: Prior Year 941 Return

I'll help you get those 941 forms filed in no time, @Jc dotson.

As always, be sure to touch base with the IRS (here's their contact information) to ensure the notice is valid. If they'll accept a manually recorded copy, QuickBooks can help you prepare one in a hurry. The instructions below will help to ensure your success in doing just that:

Filing a Form from a Prior Tax Year

  1. Begin by heading to the IRS resource at this link and obtain a blank copy of the 941 form for the appropriate years.

  2. From within your company file, follow the steps here to view the 941 forms from the Payroll Tax Center.
  3. Using the wages and taxes information from the printed form, fill out the blank copy to be filed manually to the IRS.

For more information on QuickBooks Payroll and tax forms, check out this comprehensive assisted tax guide. With the help of these steps, you can view and edit tax forms processed in QuickBooks at a moment's notice.

Please keep me posted on your progress with this, I'll be readily available here to lend a hand with any and all of your QuickBooks concerns. Thanks for coming to the Community and take care.
