Is there a way to have different notification schedules for different days?

We have employees that only work Saturdays and Sundays but the shifts have different start times. I wanted to send a reminder for them to clock in just when their shift starts but it looks like you can only set one time for all the days. Is there any way to set different times for different days?

Ah, yes, indeed! It is included in TSheets Premium! So you're set to go. :) 

That totally makes sense. Yes, you can automate just about everything here. When you set up a shift, for example, a Saturday shift, you can assign it to all employees that will be working that day. In the example below, I've assigned this shift to 4 employees.

 

Then, in Company Settings under Notifications, you can set the Schedule Notifications.



Options here will take the scheduled times into consideration and send reminders 1 hour before and again after a shift has started if an employee hasn't clocked in. So, in your case, they would get a notification at 7:30am (if selected) and 8:31am (if not clocked in). 

 

Better yet, any scheduled shifts can be set to repeat if they will always be the same. Or, you can copy a previous week's shifts to the current week using the Actions menu at the top left of the Schedule window. 

Let me know if you run into any challenges or roadblocks as you get setup. I'm happy to walk through anything in more detail.

Hey there @kmun64! Great question. Unfortunately at this time, that reminders feature is limited to one time for all days selected. However, that does sound like a great use case for the Schedule feature.

I will start with the caveat that scheduling does incur an extra charge, so if that is not an option for you, please disregard! With Schedule, you can define shifts for employees each day and set reminders to clock in for scheduled shifts. Using this, you could customize notifications for each employee by day. Let me know if this sounds like something that might work for you.

What do you mean extra charge? Is it not included in the premium package? 

That would work well for us I think to be able to send notification by employee by day.  Can it be set so that it repeats automatically but only if they are scheduled for a shift that day? So in other words, every Saturday shift is 8:30 to 4:30 and every Sunday shift is 11:30-4:30 but not everyone works every Saturday or Every Sunday. But would be tedious to always have to enter the notifications so just wondering if they can be set for each employee and send automatically but only if scheduled. Hope that makes sense.

ok, great. I'm going to do a trial run this weekend while we are still in lockdown and not actually working. May as well make use to the time, right? Hopefully, we'll be back to business as usual the following weekend!

Is there a way to have different notification schedules for different days?

ok, so I'm not sure what happened but I didn't get any notifications, either email or text. I never got any notificattions when assigned a shift, either email or mobile (is this by test or do you have to have the mobile app to get these?). Also, I never got anything for 1 hour before shift started this morning or for not clocking in. I already had the settings in there as indicated. But if the mobile is through the app and not text then that may be the problem.

Hi kmun64!

If you are an admin, you will not receive schedule notifications. The system figures that if you are creating the schedule, you don't need a notification for your shifts. Lastly, the mobile notifications come through the TSheets mobile app. Make sure you have entered the correct email address in your Team Member profile if you want them sent to your email.
