Hi there, accounts645.

 

Thank you for bringing this to our attention. Let me explain why your expense transactions are not appearing in the Trial Balance and help you resolve the issue.

 

Expense transactions not show in the Trial Balance due to applied filters, such as the report period, specific date ranges, or options like “Show non-zero accounts” or “Show active accounts only.”

 

To resolve this, please check the filters in your Trial Balance report by following these steps:

 

  1. Click the Customize tab in the Trial Balance report.
  2. Ensure the date range you're using both for P&L and Trial balance are the same.
  3. Adjust the filters to display both active and inactive accounts if needed by selecting “All” in the filter settings.
  4. Click the amount displayed next to the expense account in your Trial Balance. This opens a detailed list of all transactions associated with that account, showing the breakdown of activity for review.

 

I'll attach a screenshot for reference.

 

 

Additionally, another reason your expenses might not be appearing in the Trial Balance could be due to how they’ve been categorized or posted. For example, if a transaction is recorded in the incorrect account, such as a suspense account, or misclassified as an asset instead of an expense, it won’t appear under the correct expense account in the Trial Balance.

 

To do that, I recommend reviewing how these transactions have been categorized and making sure they are posted to the correct expense accounts.
