Previous YTD Payroll - Desktop
I have a client that lost their entire QB in December. Literally everything and no backup. I am trying to enter 2021 YTD payroll numbers so that I can attempt to process year end. I have NOT run payroll yet this year, but will need to ASAP.
When I go into the Employee setup, it only lets me add 2022 numbers.
Help, what is the best way to accomplish this task. I have several other tasks to get done, but this one is the most important of the situation.

Let me help you with entering prior payroll data, LMR Bookkeeping.
We can use the backdoor process to manually enter the 2021 payroll data in QuickBooks Desktop. Here's how:
- From the Help menu, choose About QuickBooks.
- Press Ctrl + Alt + Y or Ctrl + Shift + Y to open the Setup YTD Amounts window.
- Press Next until you reach
- Under When should YTD summaries affect accounts? section, manually enter the 2021 period.
- Tap Next.
- In the Earliest QuickBooks payroll date section, enter the date you'll begin using QuickBooks payroll to create paychecks. Then, Next.
- To enter a YTD summary for an employee, select the employee's name and press the Enter Summary button.
- Once done, click OK and hit Leave.

There are a couple of things to check when reconciling a bank account after not all the payroll year-to-date (YTD) adjustments are clear. These are the details that we can look at:
- Review Transactions: Check if all payroll transactions are entered correctly in QuickBooks.
- Verify Adjustments: Ensure that your YTD adjustments are accurate and reflect the correct amounts.
- Check Dates: Confirm that the transaction dates align with the reconciliation period.
- Reconcile in Stages: If reconciling for the entire year, start with the oldest bank statement and work month by month.
- Consult Reports: Use reconciliation reports to identify discrepancies.
Given the complexity of accounting your payroll YTD transactions, I also recommend consulting an accountant since they have a thorough understanding of payroll regulations and tax laws.
