I should clarify: I don't care about Manage Bills/Track Time/Multiple Users (it's just me using it). I saw in another post that Multiple Currencies would block a downgrade, but I don't care about that (t's turned OFF). I guess I'm wondering about hidden "gotchas" of downgrading. I love essentials but don't use a lot of the added features, I'm finding. I love the automatic categorization of transactions from bank feeds though (rules) and hope that remains.
Hello there, brucecoughlin14.
I'm here to share details about switching your QuickBooks Online (QBO) plan from Essentials to Simple Start. This way, you'll be able to determine which plan fits for your business and monitor its growth with it.
There's no need to re-enter everything (such as company, customer, vendor, and employee information) once you downgrade your QBO plan. However, downgrading will remove all discounts you have on your current plan.
You'll lose the recurring transaction templates and the multicurrency feature since the Simple Start plan doesn't support it. You'll also need to remove extra users since it only limits to 1 billable user and 2 accounting firms.
Once you've decided to switch to QBO Simple Start, turn off your recurring transaction templates first. Here's how:
- Go to the Gear icon.
- Select Recurring Transactions.
- Choose your template, then select the Edit drop-down arrow.
- Select Pause, then Pause again to confirm.
On the other hand, if you currently use the multicurrency feature, you won’t be able to switch to QuickBooks Simple Start.
When you're ready to switch, kindly refer to this article's Step 3: Downgrade your plan section for the step-by-step guide: Downgrade your QuickBooks Online plan.
After that, your plan will change immediately. You can visit the Account and Settings page to make sure the downgrade process is successfully executed.
Moreover, I'm also adding this article for you to check which plan is right for you and your business: QBO Comparison Chart.
Please let me know if you have other concerns. I'm just around to help.
Thanks so much. Sounds like Simple is fine for my needs. But can you clarify what will happen with billing? I just today got charged for essentials. Will I be charged AGAIN for this month for simple? If so I should just wait til a day or two before the next billing to switch. Thanks again.

OK I can now answer my own question: if you just got charged for a month at a higher plan and then downgrade right after you do NOT get charged again. In fact I got a credit for the difference (possibly prorated, not sure since I did it right away). And I got the credit almost immediately. 5 stars to Intuit for making the change from Essentials to Simple quite painless.
