Lost ability to see my bills when migrated from QB Desktop to QB online Easystart

I lost ability to see my old bills when migrated from Desktop to EasyStart. I am a single user with simple accounting and do not use Bill features, simple Expense feature is enough for me to pay my bills. But when I migrated to online EasyStart and after I got audited, I realized I cannot see my bills (I can see a line item, but I cannot open it to see details or taxes paid). 

I called support and it seems only option is to pay the expensive essential license. 

Can anyone help me on this?

Marketing material said I can seamlessly transition and upgrade or downgrade... it does not seem to be true?

I'm glad you found a QuickBooks Online plan that works for what you need moving forward with your books and business. The conversion process has been configured to be as smooth as possible for when you want to make the switch from QuickBooks Desktop to QuickBooks Online. I can see how your situation of having used the bills feature in QuickBooks Desktop would complicate the situation now that you've moved to an Online plan that doesn't have the bills feature. I'll go over this with you.

 

As you've noticed, you can still see some details when it comes to your bills. They'll still appear in your supplier area and reports, but you won't be able to open them to view the transactions themselves. Using reports can help you to see the details you need such as taxes paid on the bill. Here's one you can try.

 

  1. Select the Reports option from the left menu.
  2. Scroll to the Expenses and suppliers section.
  3. Choose Transaction List by Supplier.
  4. Click the Customize button in the upper right.
  5. Choose Rows/Columns.
  6. Click Change columns.
  7. Check off the Tax Amount option.
  8. Select any other desired columns and other customizations of the report.
  9. Select Run report.

You can also try a report such as the Transaction Detail by Tax Code report found under the Sales tax section in reports. If that's still not giving you the information you're seeking, an upgrade to QuickBooks Online Essentials will allow you to see your bills and gather the desired information, as phone support mentioned. I know this isn't the answer you were hoping for, but I want to make sure you're able to access the information you need.

Thank you for the clarification and the help on the report. I tried it and I can see the taxes paid. Though I cannot see the splits.

Most of these bills are amounts paid by credit card, so supplier is HomeDepot and expense is under repair, in the bill I will exact same amount but -ve toward the credit card account. The net value of the Bill is $0.0, this is the only thing I see in these old reports... I can see amount paid to credit card as a cheque for the sum off all the bills, but I cannot see the split. 

 

In the report, I asked for the split, and it only show me the word "split" not detail. 

 

I still cannot see the detail I need on my bills. 

 

I know you are saying upgrade to the more expensive package (which is really expensive for my operation) and I really do not need the Bills feature, Expense can do the job moving forward. I just want to see my old bills, they ones migrated from Desktop. No one told me I will loose that! ability to see should be easy to implement.

 

One more important question on that same topic, is the information still in the system and I just cannot see it, or it physically lost... talking here about bills details and attachments (these are my supplier invoices), so if I was audited by the tax man a year or two from now, can I still pay for upgrade and see my old information or It may not work and I will be in serious trouble (I have not other record of the transaction)? please answer this one carefully. It carries serious legal liability on me and on Quickbooks software providers.

The split details of your bills will still show after migrating from QB Desktop to QB Online. You don't have to upgrade your QB Online for Bills feature instead, you can run the Transaction List with Splits report to show the split details. Let me walk you through the steps.

 

  1. In your QuickBooks Online, click Reports.
  2. Search for Transaction List with Splits.
  3. Click Customize.
  4. Go to the Filter section.
  5. Select Bill from the Transactions Type drop-down.
  6. Click Run report.

Once done, you'll be able to see the split accounts used for your bills.

Can you please answer my 2nd question on this issue:

Taking precautions before doing any changes is a great habit, MA5.

 

The Transaction List with Splits report is only available in QuickBooks Online Essentials and Plus versions. Here's a comparison of reports available for your desired or subscribed plans: Reports Included in your QuickBooks Online Subscription.

 

When upgrading your current subscription, your data won't be lost or changed. 

  1. Log in to your QuickBooks Online account.
  2. Click the Gear icon in the upper-right corner and select Account and Settings.
  3. Select the Billing & Subscription tab and go to the QuickBooks section or tile.
  4. Select Upgrade and choose the plan you want.
  5. Click Upgrade and confirm the payment information.
  6. Click Save.

The system will only add the features available for the one you subscribed.

 

While you're at it, the documents or files attached to your bills can be accessed through:

  • the transaction itself. Open the transaction (bill or other transactions) and go to the Attachments fields.
  • the Attachments page.

Here's how you can view the attachments:

  1. Click the Gear icon in the upper-right corner and select Attachments.
  2. From there, you can see the list of attachments and where they are linked.
  3. You can download the attachments if necessary.

I should confirm that I did check when I migrated from desktop to online and all was good, though the consultant I hired for the job and the support line from Quickbooks assured me that I can use easystart and I should be fine. I reviewed all my reports and they matched. Though I did not click on every transaction to see it opens and it good. 

 

I do not need more than EasyStart, I am a single user and I really do not need Bills feature, Cheque expense and standard expense is more than enough for my operation. I am only trying to access my old information from desktop if needed to, if I was audited. 

 

Regarding finding my "Attachments". Again, you are pointing me to invalid option for EasyStart. I followed the procedure you provided, Gear Icon, Attachments, I can see all the one associated with cheques and expense, I cannot see my own attachment associated with "Bills". I see a raw for that attachment, in Type it says (other), when I click download, another empty window opens, vs a download of an attachment associated with a cheque. 

 

Again, my question, please. I just want to know, if I was audited and if at that time I decided to upgrade to get the bills details and associated attachments.  Is this information saved in the system, or I may loose it?

 

Please... before answer try it. Check that your answer apply to my situation. I am continuously getting answer and things to try that does not apply an EasyStart user.

Glad to see you here again, MA5.

 

The data recorded in your EasyStart plan won't be affected. Once you upgrade your account, the only changes are the new feature added.

 

Also, after you switch from QuickBooks Desktop to QuickBooks Online, attachments are not converted to the online version. This might be the reason why you don't see the attachment associated with the bills.
