I am looking to upgrade to Quickbooks online version. I am working off licence no {Removed from Moderator} Product No {Removed by Moderator} - an offline version which is around 9 years old. Is it possible to transfer data of past years from the offline version to a online system. The 9 years of history is very valuable to me. Is there are solution to this?
Hello @Aramo,
Converting your company data from the desktop to online is only available for QuickBooks US and UK versions. Do you have any of these versions?
You can start by creating a backup copy of your 9-year old company data before converting it to the latest version of QUickBooks Desktop. To do so:
Once done, go back to the File menu and select Copy Company File for QuickBooks Online under Utilities. You can read through this article for the detailed steps: Move your QuickBooks Desktop file to QuickBooks Online.
I'm also adding a reference here in case you'll bump into errors when converting your company data.
Keep me posted in the comments if you need more help. Thanks!
That's so helpful, thank you. It is a UK version. So to understand the process, I am converting my data taken from a 9 year old piece of offline software to the latest version of the offline software. From there I can convert it to the online version. Have I understood the process correctly?
Hi Aramo,
Yes, you got it right. After converting the old file to the new version of QuickBooks Desktop (QBDT) for the UK, our Data Migration team will then help you convert your file to QuickBooks Online (QBO). You can refer to the article that Johnpril shared in his post.
I just want to emphasize that migration to QBO is possible if it’s not more than 60 days old. Otherwise, you’ll need to sign up for another QBO account.
Since you’ll be using the online version now, I’ll share some tips for checking references in the Community.
If there’s anything that I can help, please don’t hesitate to go back to this thread.
I am not sure you are able to convert 2011 data file directly on 2020 version in one jump. You need to call and ask Intuit Data Service to convert it. Make sure you have open a QBO account prior to call them.
Should you need to resolve it in due course, consider purchasing a 3rd party conversion service and get a converted QBW file. You may self migrate it to QB Online from the QBD UK trial version.
Hello @JessT !
Thanks a lot for a detailed instructions! We have successfully done the import. But now we have another issue - in account [email address removed] appeared two companies:
So as we investigated now, we have a subscription only for a first company and have a trial for second.
This is what we have in Billing&Subscription section for each company:
PS @Aramo and me are from the same organisation :-)

I appreciate the details that you gave, @firuz1844.
You've got me here to share some insights about creating backups in QuickBooks Online and get you pointed in the right direction with your subscription concern.
To help you with managing your subscription, I suggest contacting our Customer Care Team. They have the tools to access your account and discuss with you on what is the best action to do so you won't be billed twice.
On the other hand, creating and restoring a backup copy of your company file is only available to the Advanced version of QuickBooks Online. If you are using the SimpleStart, Essentials, or Plus version, there's no need for you to make a back up since the QBO will automatically backs your data up with the same level of security used by banks and financial institutions.
Here's a link that you can check out for more details about this process: Do I need to back up my data with QuickBooks Online?.
Additionally, you can always visit the Audit Log function in QBO to keeps track of your activities. This way, you can see who made changes to your books and what they did.
Here's how:
I'm also adding here an article that you can visit about the importing data FAQ's in QBO for reference: Common questions about importing data to QuickBooks Online.
Let me know if I can be of any additional assistance. Have a wonderful rest of your day.
I am having the exact same problem, that the export created a new company under a trial and was not moved to the company I already have a subscription for. Please assist
Which QB Desktop version do you have? Where is your company located?
I'm here to make sure you'll get the right support in converting your Desktop data to QuickBooks Online (QBO), @Niklas van den Boom.
It could be the system didn't detect that you have a subscribed QBO company when performing the exporting process. That's why it created a new company under a trial version.
Transferring the data to your correct company requires pulling up your account. With this, I'd suggest contacting our Customer Care Team. They can help you complete this task, so you'll be able to use your subscribed QBO account. I'll guide you how.
For more information, check out this article: Contact Support.
Once resolved, the trial account automatically cancels after 30 days with no billing charges. If you want to cancel it now, you can go to the Company Settings to perform this. For detailed steps, see the If you're cancelling your free trial section through this article: Cancelling QBO Account.
Furthermore, I recommend visiting this website: Help Articles. It is a resource hub that helps you manage your income, expenses, banking, inventory, taxes, and QBO account.
I'll be right here to help if you need anything else. Enjoy the rest of your day, @Niklas van den Boom.
It depends on:
1. Where your company located is
2. Which QB Desktop country version you have
QBD US version can only migrate to QBO US version. You have to utilize a 3rd party tool migrating to QBO other country version. i.e TP Exporter for Desktop, TP Importer for Online

Make sure you have open a QBO Philippines version
https://quickbooks.grsm.io/Philippines
Antoher option for your QB Desktop, should you need to access your data by internet connection, you may deploy a private cloud solution or put your license and data file on an authorized QB cloud hosting.
