How can I prevent a standard users from making changes to invoices and receipts once they are generated?

Hi there, @awmwoodwork.

 

I'll share insights about users' access rights in QuickBooks Online to avoid letting them change your generated invoices and receipts.

 

You can change the permissions given to a standard user from All to Limited (Suppliers) or None access. This way, they won't be able to use any of the accounting features and tasks related to your customers and sales. To do so:

 

  1. Go to the Gear icon.
  2. Under Your Company, select Manage Users.
  3. Find the name of the standard user in question.
  4. Below the Action column, select Edit.
  5. Choose None or Limited and put a checkmark on the Suppliers selection.
  6. Click Save.

Now that you've learned the access a standard user can do, here's a report you can use to determine the changes they made to your account: Use the Audit Log in QuickBooks Online. And use it to keep an audit trail for a certain event in a given time.
