I can guide you in customizing your invoice to create a proforma invoice, @newtechsystems84.

 

You can customize any existing invoice template in QuickBooks so you can create a proforma invoice.  Here's how:

  1. Go to the Gear icon.
  2. Under Your Company, select Custom Form Styles.
  3. Click New Styles.
  4. Select Invoice.
  5. On the Content tab, select the top-portion of your invoices.
  6. Under Form, select Form Names.
  7. Enter the Proforma Invoice.
  8. Click Done.

Is this pro-forma taken into account for VAT on the date it is issued? Clients require proforma invoices , but I don't want it to be included in my VAT report until such time as the actual invoice is made out which could be in a month or two.

Yes, you're correct. If the items are VAT included, it will be taken into account on the date it is issued.

 

You can create an Estimate template and rename it since it's a non-posting transaction. Then, convert it to an invoice in the future.

 

To create a template, you can follow the steps shared by my colleague above and choose estimate instead of invoice. Once done, here's how to create a proforma:

 

  1. In QBO, go to the + New option at the top left to create an Estimate.
  2. Pick a customer from the Customer dropdown.
  3. Enter the necessary information in the desired fields.
  4. Hit Save and send to complete.

 

To convert it to an invoice, here's how:

 

  1. Go to the Sales menu at the left to get to the All Sales tab.
  2. Locate the estimate.
  3. Select Create invoice in the Action column.
  4. Make sure there's a Linked invoice link on the invoice. This shows the converted estimate.
  5. Once done, click Save and send.
