Purchase order: same items with different suppliers and prices

How do we handle items we can purchase from a variety of vendors?
Do we create multiple items with the same name, but different vendor int the details?
How do we update the price of these items as it changes over time?
Will updating that affect past transactions (which would be incorrect) and calculations?

What kind of app with assemble feature do you suggest to integrate with QBO?

Purchase order: same items with different suppliers and prices

It's nice to see a new member in QuickBooks, @jsv_dasis.

Each task is a chance to learn something new. Let's work together and understand how to set up product and service items in QuickBooks Online.

Let's start with the basics. We can add items from different suppliers, but we can't use the same name. We can use the same name and add an alphanumeric symbol on the second item you need to set up.

I've created three similar products with different suppliers for you to visualize the detailed information:

As you can see, the items have the same name with different figures. This is the simplest method for keeping track of items in QuickBooks Online.

Also, the Price update option is one of the newly added features of QuickBooks Online (QBO) that is presently in beta testing. The initial release of this feature does not include QBO global versions.

Optionally, we can  manually enter or change the price within the Products and Services tab.

Here's how:

  1. Go to the Products and Services tab.
  2. Select the item you need to modify and click the Edit button under the Action column.
  3. Update the product price in the Sales Price/Rate field.
  4. Enter all the necessary details, then click Save and close or Save and send.

Furthermore, price updates will not affect past transactions. It will only affect the future transactions that occur after the revision.

Check out this article for more detailed instructions in managing items: Add product and service items to QuickBooks Online. This article provides steps to edit, change, and delete products and services.

Since we can't suggest a specific apps that has assemble features, we can look for a third party application from this link: QuickBooks App store

Additionally, I've added this page on how to create a purchase order and send them to suppliers: Create purchase order in QuickBooks Online.

You can freely add your reply if you need help in reconciling transactions or creating a report in QuickBooks. I'll be right here around the corner to help. Have a great day.
