How do I How can I correct the category rent was charged to for one month only?

Hello there, @lcaiazzo8866.Let's get this done so you can start recategorizing your transactions to the correct account in QuickBooks Online (QBO). 

 

Before we begin, are you referring to recategorizing transactions from your bank account? If so, we can uncategorize this entry from the Transactions tab and place it in the appropriate category. Here's how:

 

  1. Go to the Transactions menu and navigate to the Bank Transactions tab.
  2. Tap the bank tile where you have categorized these entries.
  3. Click the Categorized tab and select Undo under the Action column. The Categorized tab is where transactions are placed immediately after you've categorized them into a different category.

 

If you're referring to transactions that were manually added to your chart of accounts, we can follow these steps:

 

  1. Go to the Gear icon and select Chart of Accounts (COA).
  2. Locate the account where the rent has been added.
  3. Under the Action column, click the View register dropdown.
  4. Find the specific month’s rent transaction and open it.
  5. Tap the transaction and change the category in the Account section.
  6. Click Save.

How do I How can I correct the category rent was charged to for one month only?

Neither one of these works. I am the new Bookkeeper. The old one entered everything. I had to run a profit and loss report for the company and noticed the rent discrepancies On November and December of 2024 and January of 2025. I was able to correct November and January. I have tried everything! Am I missing something here?

How do I How can I correct the category rent was charged to for one month only?

The two categories are 7101 which was pre established by QuickBooks and 7100, which I think they created. The old bookkeeper used 7100 for three months, November and December of 2024 and January of 2025. I was able to correct November and January on the New Expense Page. I entered the Vendor name and it pulled up both November and January. I was able to edit both from there. December did not come up so I was unable to make the change.

 

Is there a way to view all transactions or run a report? A way to view all transactions in a category?

 

I also need to view Sales tax transactions 2450, to get totals for the quarter to pay to the state what is due.

To locate transactions in a specific category, navigate to the Expense page and use the Category filter, as QuickBooks doesn't offer a specific report for this. Also, for a detailed analysis of all sales tax-related transactions, consider running the Sales Tax Liability report. I'm here to assist and provide you with step-by-step guidance throughout this process.

 

Currently, QuickBooks doesn't have a direct report where you can specifically filter a category. With that in mind, we can navigate to the Expense page and filter it. To do so, here's how:

 

  1. Open your QuickBooks account.
  2. On your left navigation panel, go to Expenses, then select Expenses.
  3. Once there, click the Filter button.
  4. Ensure to filter the correct Status, Delivery method, Date, Payee, and Category.
  5. After that, click Apply.
  6. Find that transaction and in the Category column, click the dropdown and find the correct category to reclassify them.

Alternatively, you can also pull up the Transaction Detail by Account report as this provides a detailed insight into viewing your expenses by account. To do so, here's how:

 

  1. Go to the Reports menu.
  2. Type and select the Transaction Detail by Account report.
  3. On the upper right part of your screen, click the Switch to classic view.
  4. Once done, click the Customize button.
  5. Set the Report period.
  6. Go to the Filter section and choose the All Expenses Accounts option in the Distribution Account field.
  7. Click Run report.

Moreover, to view your sales tax transactions, you can generate the Sales Tax Liability report. It shows the detailed sales tax amount collected and owed to various tax authorities for a specific period. To run this report, please follow the steps below:

 

  1. Go to the Reports menu.
  2. Type and select the Sales Tax Liability report.
  3. Customize the Report period and the Accounting method.
  4. Click Run report.

If those December entries are still unavailable after following the steps mentioned, you can consider creating a journal entry to correct the misclassified categories. In this process, I highly recommend contacting an accountant for professional guidance. To do so, here's how:

 

  1. Open your QBO account.
  2. Go to the + New button, then select Journal entry.
  3. Start by choosing an account from the Account field on the first line. Depending on whether you need to debit or credit this account, input the amount in the appropriate column.
  4. On the following line, select the other account involved in the transaction. If you debited or credited the first account, enter the same amount in the opposite column.
  5. Verify the amounts to ensure that the Credit column on one line matches the Debit column on the other. This confirms that the accounts are balanced.
  6. Once done, click Save and close.
