Hey @LeahIlanah! Yes, FOCUS is EVERYTHING when you have a big deadline. 

 

The way I teach my clients to stay focused is to:

 

1) Use time blocking. Commit to focused work for 90 minutes at a time. No interruptions, no email, no wandering around.  After the 90 minutes is us up, then you MUST get up, get a drink, and even stretch a bit for 10 minutes or so, and then back at it. 

 

2) Set intentional times for checking email and responding to voicemails. Email and voicemail are focus killers, so decide 3 times during the day that you will check (morning, midday and late afternoon usually do the trick) and then let your clients know with an email autoresponder. When you let clients know the schedule, everyone involved can relax because the expectations have been communicated. This is golden!

 

3) Treat this time like a marathon and build in self-care!  That means great nutrition, hydration, and sleep! This trifecta will ensure that you make it to the finish line with even a little left in the tank for that well-deserved mini vacation you're going to take when the deadline passes! Boom!

Hey Julie:  Still struggling with getting a good Virtual assistant.   Two hired, two let go.  Smiley Sad

 

I think I need to re-group on this topic as I wasted a ton of time getting them going only to realize neither VM was a good fit.   I think I need someone familiar with my business type.   

 

As you know, Matthew (@ParkwayInc ) and I are preparing ourselves for the first  Community Live! show.  We are busy marketing.  I probably should have onboarded  a new staff member sooner.  Should I think smaller?  Just get someone for a simple task and build onto that?  With the time I wasted, I probably could have completed what I needed done myself. 

 

Suggestions welcome!

NEVER think smaller @lynda!! I know for sure that you have both the competency and the capacity to go even BIGGER, so let that other idea go! 

 

How did you vet the other two? Did you have a list of specific tasks for them to do and then review their work, or did you have them just jump in doing everything?

 

Remember, start with a few simple and repeatable tasks so THEY can achieve a level of success and YOU can review their work for accuracy, speed, and initiative. 

 

So what was your methodology?

Love those 3 things @JulieatTheWELL!! I started using the Pomodoro technique to switch things up in my work day because I was low on energy and focus. Still in the trial stage, but so far so good! It's pretty amazing how you can get MORE done in LESS time by not sitting for extended periods and allowing your blood to flow and mind to clear. It almost seems counter-intuitive that less working time=more productivity.

Maybe that is where I went wrong.  The first VM spent time with me on a zoom meeting.  Then I showed her what I wanted done and I recorded the meeting. 2 weeks went by and she did not do any work!  She told me she could work part time in the evenings.  

 

So I picked another girl.  She was excited to start. I showed her the video and walked her thru it.  She started the projects but it was painful.  Instead of taking the initiative and looking back at the video, she sent me emails.  Tons of them!  The straw that broke the camel's back was misspelling "accounts receivable".  

 

Any ideas on a better process?   I like your idea of a simple task. Maybe mine was too complex. It was setting up Slack channels for my client base.

YES, that's exactly it @Peter_G_Stone!!! Keep working the Pomodoro technique - it really works!  Harvard Business School published an article about the cost of "switching time" when we go back and forth between tasks, so focus is EVERYTHING! Keep up the good work! 

 

P.S. Did you share your ONE THING to finish the summer strong yet? And no, I don't just play a business coach online! #therealdeal #accountability!!

Sorry I missed open office hours.   I'm blessed with work - too much.  My problem is I'm not motivated to do it.   But I must....my husband is quitting his job and I'll be the bread winner.   I would rather be out doing other things or "creating".    I love what I do, but get BSOS (Bright Shiny Object Syndrome) easily.   Everything takes so much time (even this group, although it fits into my vision)... and time is so precious.

@JulieatTheWELL my ONE THING to finish the summer strong is evaluating EVERYTHING!! Internally I'm feeling too much trepidation about the future and disconnect from the present. I'm not 100% sure why, but I believe much of it has to do with operational efficiencies and strategies that I don't feel are being maximized at the office; spurred by my own self-doubt in what the firm can be. Obviously, these things do not fix themselves, so it is time to evaluate work flows, processes, strategies, and clientele to see what needs to change.

 

Conveniently, I was just talking about SMART goals with @EmilyCowan yesterday. Creating some new goals for myself and this business would help me facilitate some much needed change. As former President Obama said "Change will not come if we wait for some other person, or if we wait for some other time. We are the ones we've been waiting for. We are the change that we seek." Success or failure hinges on many things, and the ability to cultivate change and modify strategies are important to staying successful.

 

Oh and one more thing...extension deadlines for the 2017 tax year are fast approaching! Where did the time go?! Gonna have to put some major focus into that as well!

Excellent reflection @Peter_G_Stone! I so love how you lean in on these topics!!

 

If I can be real with you, before starting with operational processes and maximizing strategies, I want you to start with YOUR VISION.

 

What do you want your firm to look like in 1 year, 3 years, and 10 years? 

Who is on the team?

What do they do? What do YOU do?

Who are your customers?

What are your revenue and profit levels?

How much is your personal income?

How much time do you spend in the business, on the business, and away from the business?

 

Take a long walk in nature on an upcoming Friday or Sunday (best days for dreaming!) and envision not the firm you have, but THE FIRM AND LIFE YOU WANT.

 

With that masterpiece in mind, now you can re-engineer your processes and strategies based on what you are building, not what is... SO DELICIOUS!!

 

Peter, I am confident that once YOUR vision is clear (not a vision that you are taking over), your trepidation will ease up, and clarity and excitement about the future you are building will automatically IGNITE YOUR FIRE!!!

 

Lastly, keep showing up here the way you have been and we will get you exactly where you want to go... together! #WEVEGOTYOU! J.
