Re: How do I print an expense report by category for last year?

Hello there @tom-henderson-b0

You'll want to pull up the Transaction Detail by Account report. This lists individual transactions, subtotaled by each account. I'll guide you how:

Go to the Reports tab.

Type Transaction Detail by Account inside the Find report by name box.

On the statement, click the Customize button.

Click the Filter drop-down arrow to open the option.

Put a checkmark in the box beside the Transaction Type.

Under the Transaction Type section, click the drop-down arrow then select Expense.

Place a checkmark in the box near the Account, then click the drop-down arrow and select the expense account that you want to view.

Click the Run report button.

On the Report period box, select Custom, then customize the date range and click Run report.

In that statement, you can see the printer icon from the upper right of the report.

You can memorize your report for you to easily pull up and run the statement.

If you have follow-up questions, don't hesitate to leave a comment below. Have a wonderful day!

Re: How do I update/change my Payment Methods?

<LI-USER uid="920767" login="donnarandolph01"></LI-USER> Hi again

It sounds as if you are asking for ability to edit the payment methods accepted through your payments account.

Unfortunately, there isn't a way to make changes to the pay methods available with your merchant account. Merchant services open up the freedom to accept major credit cards Visa, MasterCard, Discover, and American Express (AMEX)*.

If you need to disable the option to pay by credit card on an invoice, you can deselect the option when creating the invoice.

For accounts that do not have AMEX as a payment method, it can be added within the Merchant Service Center under Account Profile.

Let me know if this answers your question.

Re: How do I enter historical payroll data in QuickBooks Online

Hello there, <LI-USER uid="305530" login="info872"></LI-USER>.

You can enter Prior Payroll information into QuickBooks Online (QBO) yourself as long as:

The information being entered is within the current calendar year.

You haven't created any current Paychecks using QBO yet.

Here's how:

Click Employees on the left pane.

Click the employee you wish to enter YTD figures for.

Click Year to Date on the left menu.

You will notice all the fields are inactive. To make the field active and available to change, click Make Adjustments on the bottom right corner.

For more information about the process, consider checking out this article: enter year to date figures.

Re: How do I import my quickbooks online data into turbotax business desktop?

Let me provide some information about importing the file to Turbo Tax, hillsidefire.

Whatever file you have in QuickBooks Online (QBO), those are the only data that will be imported to Turbo Tax. Cases like this, it would be best to complete the reconciliation first in QBO. Just follow the detailed steps in this article to reconcile your account: Reconcile an account in QuickBooks Online.

Once done, export and convert your Online data to QuickBooks Desktop. Then, import them to TurboTax.

If there's an update about importing QBO data to TurboTax Desktop directly, it will be posted on our QuickBooks Blog. You can visit this link to route you over: The QuickBooks Blog.

I've got a link here where you can find articles about managing your bank accounts and transactions: https://quickbooks.intuit.com/learn-support/en-us/banking/07?product=QuickBooks%20Online.

I'm just one click away if you need a hand with migrating your data file to another QuickBooks product or any QBO related. Keep safe always.

Hi bimmy,

You can update your employee's social security number to make the correction.

Select Workers from the left menu > Employees.

Select the employee's name.

Select Edit employee.

In section 1, select the edit (pencil) icon to update W-4 information.

Delete the displayed digits.

Retype the entire number.

Then, amend these forms using the correct SSN if you've filed the forms. Here's an article for more additional information: Correct An Employee's Social Security Number.

You'll also want to print W-2 forms for your employees: For future reference, please check this article: How to Print W-2s Forms.

Should you need any additional assistance in QuickBooks, you can post a reply. I'll be sure to get back to you.

Re: How can I change a recon ending date from 3/31/2020 to 3/31/2019?

Good day, <LI-USER uid="921373" login="cindy48"></LI-USER>.

If you just started the reconciliation, you can still change the date.

Heres how:

1. Go to the Gear icon and choose Reconcile.

2. On the reconciliation page, click on Edit info beside Save for later.

3. Put the correct Ending balance, Ending date and click save.

If reconciliation was done, the Undo option for a reconciled period is only available in QuickBooks Online Accountant, invite your accountant to your company, and let them undo the entire reconciliation.

In case you don't have an accountant, refer to this article on how to manually unreconciled and undo reconciliation: How to Unreconcile a Transaction or Undo a Reconciliation.

Let me know if you have additional questions, I'm just one post away.

I can definitely help you with this, <LI-USER uid="213560"></LI-USER>.

QuickBooks Desktop has a built in keyboard shortcuts functions that will help you in performing your tasks. Instead of using the menus, you can create invoices and move between windows with just a few keystrokes.

We can use keyboard shortcuts in the program to perform commands. Keyboard shortcuts in QuickBooks Desktop appear in the Menu bar to the right of the specific command to which they correspond. For example, clicking the “Lists” command in the Menu Bar shows the keyboard shortcut for the “Chart of Accounts” command as being “Ctrl+A” on the keyboard.

We'll see underlined letters on some forms and buttons of the program. These are known as shortcut labels. We can simply hold the Alt key then press the underlined letter to use the shortcut.

I encourage you to visit this article to know all the keyboard shortcuts for doing things more efficiently in QuickBooks Desktop.

There you have it. As always, our doors are open 24/7 to help you so don't hesitate to tap us if you need assistance in completing your task with QuickBooks.

If you are referring to the drop-down list of payment methods from the Receive Payments screen, you can manage those options within the Payment Method list in QuickBooks.

Here's how:

Sign in to QuickBooks Online

Click on the Gear symbol on the upper right side.

Under Lists, select All Lists.

Select Payment Methods list.

Click New to add a new form of payment.

To edit or make a pay method inactive, click the drop-down to the right side of the payment line.

Hi there, <LI-USER uid="494117" login="San Diego Chorus"></LI-USER>.

I appreciate you following the steps provided by my colleague.

One of the possible reasons why you weren't able to edit one of the expenses is that the account is linked with the 1099 wizard. To fix this, you need to unselect that expense account.

Thank you for your reply, <LI-USER uid="902435"></LI-USER>.

I understand the importance of tracking your transactions in QuickBooks. Let me share with you some workaround to resolve your issue. Quickbooks depends on your Windows Operating System, you need to check if there is an update.

Then, update your QuickBooks Desktop to its latest release. Let me provide you the steps.

Go to the Help menu and select Update QuickBooks Desktop.

Go to the Update Now tab.

Select Get Updates to start the download.

When the download finishes, restart QuickBooks.

When prompted, accept the option to install the new release.

Once done, perform Rebuild Verify Data this will fix bugs in your company file. Then close and reopen your QuickBooks Desktop.

Please refer to this link for additional reading. Here’s the link.

Hello, <LI-USER uid="176202" login="ThomaStudios"></LI-USER>.

As <LI-USER uid="164791" login="john-pero"></LI-USER> stated above, when a company file is closed or updated, it only saves the display lasted used. This means if you're using it on one computer and close the program, it'll pick back up where you left it but only on that computer. So, you won't be able to stop on one computer and pick up where you left off on the other, as you mentioned. The only way to keep the display the same on both computers would be to do what was said in the previous comment, purchase two licenses and use multi-user mode.

I'm only a reply away if you have any other questions. Enjoy your weekend!

Learn how to record a funds transfer between two accounts. When recording a funds transfer between two accounts, the most common mistake to make is accidental duplication. If both accounts appear in your Chart of Accounts (they usually do), you must enter the transfer as one transaction that affects both accounts, rather than entering a cheque in one account and a deposit in the other. You can create a transfer between two accounts using any of the following: Transfer Cheque Imported Bank Transaction Journal Entry Using the Transfer feature is the easiest way to transfer funds, and the easiest to recognise in the bank register. However, if you used a cheque to transfer the funds, use the Cheque feature so you can record a cheque number. The following sections outline the steps involved in each method. Use Transfer Using Transfer is probably the easiest way to record a transfer of funds. To transfer money using the Transfer funds feature: Select + New. Under Other, select Transfer.

Hello @Martinz,

The SA103F is a deduction category you can claim as an allowable expense. It includes the SA103F box numbers, QuickBooks Self-Employed subcategories, and information that you can and can't deduct.

Here's an awesome article about SA103F Categories for your guidance.

The home-office expense doesn't apply to a private or non-business portion of the expense or cost of buying business premises. You can read the details in the same article above under "Rent, rates, power and insurance costs Box 21".

I'm attaching our help page about self assessment and year end taxes for your reference.

Hi there, Doreen1977.

We're unable to adjust A/R balances without tagging a customer in QuickBooks Online. You can also create a Journal Entry to correct or adjust the balance. Here's how:

Click the + New button in the left-hand corner.

Select Journal entry under the Other section.

Enter all the required details and click Save.

However, we recommend reaching out to your accountant prior to creating an adjusting entry since this will affect your financial reports.

You can always add another reply below or post another question if you need anything else.

Thanks for reaching out to us, cc3.

I appreciate the steps you've taken applying a Credit Note to bad debt. I'm here to help you out with this.

This can happen when the Automatically apply credit feature in QuickBooks Online is turned on so the Credit note might have been automatically applied to a different invoice. This is why there isn't a Credit section available. Let's check if this is the case.

To turn off Automatically apply credit:

From the Settings icon, select Accounts and Settings.

Select the Advanced tab.

In the Automation section, click the pencil icon.

Uncheck the Automatically apply credits box.

Click Save, then Done.

This should get you back on track.

I'd appreciate it if you'll update me by commenting below. I want to make sure this is taken of. If you have any other concerns, you can always post them anytime here. I'll be sure to help.

Hey there, <LI-USER uid="921374" login="RaucousAndy"></LI-USER>. Thanks for reaching out.

I recommend getting in touch with American Express to take a look at your issue, since the file they're generating may have duplicates. This is likely an issue happening with the generation of the file on their site, so they should be able to take action accordingly.

I also recommend reaching out to our QuickBooks Desktop Support Team so that they can take a look at the file to make sure the contents meet the requirements and don't have duplicates.

If I modify the exchange rate, the resolution of this variable is not sufficient to match the exact value that I need. In other words, the exchange rate resolution that I need to match the transfer values to the cent requires eight decimal places and it appears as though quickbooks doesn't support that and it rounds off to a less precise exchange rate. This results in transfer values that do not match my bank feed.

I received a reply on Reddit's quickbooks subreddit that resolved the issue by suggesting that I directly modify the deposited/withdrawn values and that resulted in a positive match in my bank feed.

You'll want to change the form name, info871.

The estimate form in QuickBooks can be used to create quotes. Here's how:

Click the Gear icon.

Select Custom Form Styles.

Select New style.

Select Estimate as the type of form.

Click the Content tab, then click the Header.

Under Form, change Estimate to Quote.

Click Done to save.

When you create an estimate, make sure to click Customize and select the template you created.

Here's an article for additional information: Customise invoices, estimates, and sales receipts in QuickBooks Online.

Re: Does anyone know how to pay staff through the government 80% scheme?

We can add additional pay type to your employee's account so that you can pay them, <LI-USER uid="920995" login="lynn27"></LI-USER>.

As of now, we're continuously updating our payroll system based on the government's mandate for the affected employees.

Since you need to pay your employees something that's not included in their regular pay, we can create a special pay type for this. Here's how:

Go to the Employees menu, then select Employees.

Click the name of the employee.

Select Actions (at the top right of the page), then select Additional pay.

Select or search for the pay type you want to add. If you can’t find the pay type you’re looking for, you can add it.

Select Other earnings, then enter all required details.

Click Save.

More details about adding a pay type are shared in this article: Add or customise other pay types in QuickBooks Online Standard Payroll.

You'll also want to directly reach out to HMRC or to your accountant to get more details about the new guidelines. Let me know if you need anything else.

Feel free to go back to this thread if you need anything else.

I'm having the same issue. It is causing me to under collect in many jurisdictions. We end up paying the taxes ourselves. Quicken did give me the ability to set up my own custom rates, and they imported the ones I was using before switching to automated calculations, but half of them give me an error now and won't save. This has really screwed up my ability to collect the correct tax amounts. Its not just LID that is missing from my calculations, but MHA, RTA, MDT, MTS, HSD, PSI, and HSA as well (as far as I can tell thus far). The only special jurisdictions I do see calculate property is RTD and CD. CITY is even missing for Denver. This is not right and I just wish I could revert to using my own earlier tax setup.

Quickbooks Online, if you're listening, look at the attached document showing all the taxing requirements in Colorado.

I'll make sure that you're books are accurate, Sam De Pasquale.

It could be that this transaction was reversely posted in your bank that's why it showing as a payment instead of a deposit. I recommend reaching out to your financial institution to check and rectify this transaction.

To fix this issue in your QuickBooks account, we can simply exclude this transaction on your Banking page to get rid of it. Then, we'll have to manually create the deposit in the subaccount to ensure that your records are accurate. We can use a sales receipt, invoice payment, or bank deposit in handling this transaction.

I'll be guiding you in doing this whole process:

Click the + New button

Select Bank deposit, Receive payment, or Sales receipt.

Enter the necessary information, such as amount, date, and customer.

Make sure to select the subaccount in the Deposit to or Account drop-down menu.

Hit Save when you're ready.

I've added an article that will help guide you in categorizing your bank transactions in QuickBooks Online.

Hi starbeads,

You'll want to manually update your PayPal account to refresh the connection.

Here's how:

Click Banking.

Select Update. Make sure you have selected the appropriate account. QuickBooks Online tries to connect to your bank to manually update your account.

Once bank transactions download, you can match them against your QuickBooks data.

So, essentially the only way to properly account for vacation time earned in terms of the pay periods (not pay dates) is through general journal entries? (clearly tracked in either a spreadsheet or other means)

The payout of vacation time as of the pay date can be reduced from an accrued liability account that is also managed through a) additions through general journal entries and b) other adjustments made manually through general journal entries, such as starting balances, etc.

I appreciate your input.

Thanks for getting back to us, Rafiq.

You can delete the payments to make sure that you'll be able to match the transaction in QuickBooks. Let me show you how:

Go to the Sales then click Customer.

Choose the customer who sent payments.

Open the transaction with the Paid status.

Tap the one payment hyperlink to open the payment.

Click the More button below then select Delete

Hit Yes to confirm the action.

Once the payment is already deleted the invoice will open again. Then, we can go back to the For Review tab to match the transaction.

Click Banking in the left menu.

Select For Review tab.

If QuickBooks has found a possible match for the bank transaction, it displays an outlined green box under the Category or Match column that says 1 record found message to the matching transaction.

Click to expand the transaction to review its details.

If it is the correct match, select Match under the Action column.

Also, you can read out this article on how to match your bank and credit card statements: Reconcile an account in QuickBooks Online.

Let me know if you need anything else. I'll be here to lend a hand. Take good care.

Re: I have an american express account with 3 credit cards. As of 5 or 6 months ago, the activity is only being imported for the primary card. What is going on?

I have been using Bank Feeds with my Amex cards for several years. I am using QB Desktop 2018.

Recently, American Express made a change to the way the download QBO files are created. The new Amex download files are not working for me. I am getting a lot of duplicate transactions and all of the transactions are downloading only for the main cardholder, not the individual card holders.

There is a link on the American Express website that says, "Return to Previous Version" which I do because that download file is still working GREAT! (Thank God!) I go to "Billing Statements & Documents". I select Quickbooks. I click the link that says: "Download by Individual Cardmember". I select ALL CARDS. And then I get a fabulous QBO file that has all the transactions broken out by my individual card holders and somehow there are never any problems with duplicate transactions.

The new downloads are not like that at all. If I download the QBO file for the main cardholder, I get all the transactions for ALL CARDHOLDERS and A LOT of duplicate transactions that have already been entered via my Bank Feeds. There is apparently a way to download just transactions for one of the sub-card holders, but it is a big hassle to download each QBO file for each individual card holder each time. And those files still have a TON of duplicate transactions that have already been entered into my QB.

Amex says they are retiring the old web interface on May 1, 2020. I hate to see it go because the new system is not the same and not as good.

I hope Intuit and American Express can fix the problem before they Retire the old version!!! Or how about just KEEP the old version because it was working FINE!!!

Happy to help, <LI-USER uid="921347" login="jvares"></LI-USER>.

You can use the option Show non-zero or active only on the report to hide non-zero or inactive accounts. I've included a quick screenshot below:

Re: Some expense receipts will not match with the appropriate transaction from my connected bank ...

Hello there, <LI-USER uid="920589" login="user243598"></LI-USER>

I'd like to ask for clarification. This way we can better help you.

Are you trying to match your receipts to your recorded entries in QuickBooks Online? If so, we can use the Find match option to see the matching entries. Here's how:

From the Banking page, select on the transaction.

Select Find match.

From the Show drop-down option, select All.

Choose the date range.

Then, select the entries.

Click on Save.

If you're trying to reconcile your bank account, you would want to make sure you have a copy of your bank statement. This helps you identify if these receipts are duplicate entries. Then, you can eliminate them.

To delete a transaction from the register:

Go to Chart of Accounts and select the bank account.

Select a transaction.

Click on Delete.

To delete an accepted bank:

From the Banking page, go to the In QuickBooks tab.

Select the transaction and click on Undo.

Re: Is there a way to see how long an employee is at each stop using the satellite services?

Hi there <LI-USER uid="921177" login="Imagine"></LI-USER>! Welcome to the community. I'd be happy to help with this. Do you have GPS tracking enabled for this employee? If so, you can view the GPS map for their timesheet and see timestamps for each point, which should give you a good picture of how long they were at each stop.

In Time Entries, you'll notice a blue link for Location. Clicking that link will open a map with the GPS points for that shift:

Hovering over any of these points will display a timestamp so you can follow your employee's journey through their shift.

If you do not have GPS set up or need help with this, please let me know. I'm happy to go into more detail.

Hi Klent,

I think my issue is still getting misunderstood. I am not trying to access transactions from my checking account, I am trying to access transactions from Square.

Let me give more details.

For arguments sake, I'll give a hypothetical example of what is happening. Let's say that on December 10th I had $100 in transactions via Square for my retail business. Within those transactions $80 were credit card transactions, $30 was cash, and $10 were refunds. There were 20 separate transactions that made up this $100 total deposit. So I already have $80 showing up in my bank account. However, I need to see the itemized sales from Square that make up the whole day. Person A bought these three items totaling this amount. Person B bought one item and returned an item, etc.

The example above is what Square does when it syncs automatically.

I have also tried disconnecting Square, and reconnecting to use their in app feature to manually download. However I just get a confirmation that "you have successfully downloaded 0 transactions with no errors." So no luck with that.

<LI-USER uid="915460" login="situ"></LI-USER> Thank you for joining community.

QuickBooks Online automatically records deposits and fees deducted from your QuickBooks Payments transactions.

Selecting your accounts

Select the Settings icon ⚙, then Account and Settings.

Go to the Payments tab.

In the Chart of Accounts section, select the your accounts and save.

Note: Make sure the deposit account selected is the same account received payments get deposited to. It should also be the same account where fees are deducted from in real life.

About Batch Deposits If you are using the Downloaded Transactions feature to connect to your bank, batches will automatically be matched. This is because your payments will automatically go into the Undeposited Funds account in QuickBooks Online as soon as you process them. Once they settle and are deposited into your checking account in real life, the Batch Deposit will automatically be recorded and a separate fee withdrawal will be automatically recorded in Fees withdrawal account.

When the company is an LLC, yes. Owners of an LLC are called Members. A sole proprietor - otoh - would be an owner. If a general partnership you could refer to Partners Equity but no matter the name they act the same.

And it is suggested that you have 4 equity accounts for each owner-memver-partner one of which is a parent summing account never posted to and 3 sub accounts example being Member Equity, Member Conyributions , Member Draw. This way you can keep track of annual funds movement in and out of company and post the draw and contribution totals to the third equity account on day 1 of new fiscal year.

Hi,

I'm finding the self-employed version isn't working for me in this regard. I have receipts for my business that I want to manage through my app/web. For my receipts I need them broken down by Total (inclusive of all taxes and gratuities) and GST (only applied to the subtotal NOT the Grand Total. I can't get Self-employed to do this as it with doesn't;t pull any tax if I leave it off OR if I select GST only is applies GST to the Grand Total.

Example....

Meal Receipt

Subtotal = $30.00

GST =           $1.50

Gratuity =    $5.00

GRAND TOTAL = $35.00

Right now the GST would pull $1.75 from the Grand Total including tax.

HELP as I can't use this app without this functionality. I can't be the only one here???

Thanks,

Cameron

Good day, k1t2.

There are two options on how you can enter your Paypoint sales in QBO.

First is to manually record them. Here's how:

Click the + New button in the left-hand corner.

Select a type of transaction (Invoice, Receive payment, or Sales receipt) under the Customers section.

Enter the name of the customer, the payment date, and amount.

Type in all other details such as product or service item in the Product/Service column.

Click Save or Save and close.

Second option is to import a number or transactions using a csv file. You can get a copy of the file from the bank where your Paypoint sales are deposited.

Please open this article where you can get more details how this feature works: Import bank transactions using Excel CSV files.

I'll be around if you need anything else.

Re: Balance sheet report asset account balance is inaccurate

On Jan 1, I created a journal entry to reconcile my expenses for the year with (negative) retained earnings (Credit to my Retained earnings account because they were negative and debit from my owner draw equity accounts).

Don't try to use the chart of accounts to determine the balances, use the balance sheet that is standard accounting. The chart of accounts presents things strangly. income and expense are never on the balance sheet by the way.

If you credit retained earnings, you are increasing the amount. retained earnings is last years net profit/loss.

You do not reconcile expenses with RE.

You have a P&L, that P&L shows all income and expenses and the bottom line is net profit/loss which QB transfers to RE automatically.

Then you distribute RE to the partners with journal entries
IF
RE is positive on the balance sheet, debit RE and credit partner equity for their share, same for the other partner
IF
RE is negative on the balance sheet, debit partner equity, and credit RE for their share, same for the other partner

then you do journal entries for equity investment and draw per partner
debit partner equity, credit partner draw
debit partner investment, credit equity

I prefer this set up for equity, as food for thought

For a company taxed as a sole proprietor (schedule C) or partnership (form 1065), I recommend you have the following for owner/partner equity accounts (one set for each partner if a partnership)

[name] Equity (do not post to this account it is a summing account)
>> Equity
>> Equity Drawing - you record value you take from the business here
>> Equity Investment - record value you put into the business here

Re: Creating a parent account for credit card

Hi there, <LI-USER uid="920953" login="Slfike"></LI-USER>.

You can reconcile the parent account as the transaction from sub-accounts flow to the parent, once you reconcile the parent account it automatically reconciles the sub-account.

Here's how to reconcile:

Make sure to have your bank statement, review the opening balance and match the balance of your real-life bank account for whatever day you choose to start tracking the account in QuickBooks.

1. Go to the Gear icon, under Tools column select Reconcile.

2. On the account drop down in the middle, choose the account to reconcile.

3. The last statement ending date should be your bank statement starts the day after your last reconciliation.

4. Make sure the beginning balance in QuickBooks matches the one on your bank statement.

5. Enter the Ending balance and Ending date as they're written on your bank statement.

6. Once done click on Start reconciling.

Let me add this article on how you can compare your bank statement and QuickBooks and review or change reconciliations: Reconcile an account in QuickBooks Online.

You may also want to know on how to adjust a reconciliation, feel free to read this article: How to adjust a reconciliation.

Hello, <LI-USER uid="349181"></LI-USER>.

Your bank could be in the middle of an update. This is why you won’t see the disconnect option. You’ll have to wait a few more minutes before you can proceed.

Here’s how to disconnect the bank:

Go to the Banking menu and click the blue tile for your bank account.

Select the pencil ✎ icon and choose Edit account info.

Hit the Disconnect this account on save checkbox.

Select Save and close.

Check this article for more information: Disconnect or delete an account from the Downloaded Transactions page.

You can also consider adding this new connection: Connect bank and credit card accounts to QuickBooks Online.

Thanks for reaching out to the Community, <LI-USER uid="921323" login="jay38"></LI-USER>.

I'd be glad to provide info with changing the PO number to another number.

At this time, QuickBooks Online doesn't offer a feature for changing the Purchase Order generated to start another one. I am going to leave feedback to our Product Development Team for them to review and consider making this an option soon.

In the meantime, you can change a Purchase Order manually in QuickBooks Online.

Here's how:

Begin by ensuring the setting is enabled from the Gear icon > Account and Settings > Expenses tab > Purchase Orders > check-mark Custom transaction numbers > Hit Done.

Navigate to the Purchase Order you'd like to update and open it.

Edit the value under PO no. Once you're finished, select Save & Close.

For more information about customizing transaction numbers, please refer back to this article: How to change Purchase Order number manually?.

Let me know if you have any more questions, and I'm always here to help. Have a good one!

Good evening, <LI-USER uid="918372" login="dougdeerfld"></LI-USER>.

I recommend manually importing your bank transactions into QuickBooks Online until TIAA supports QBO. Here's how:

Go to TIAA and export your bank transactions into Excel.

Save the file as a CSV.

Go to the Gear icon at the top-right of your QuickBooks, then select Import Data.

Select Browse and choose the file you downloaded from your bank.

Press Open then Next.

From the QuickBooks Account drop-down list, choose the bank or credit card account then hit Next.

Follow the steps to import.

For details on the format of the CSV file, click here.

Let me know if you have additional questions or concerns. I'm always here. Have a nice day!

Re: Partnership income- record in QBO as sales income or partner contribution?

What a customer pays your partnership is income

Partners do not get distributions, they take an equity draw.

End of the year you fill out a form 1065, that form generates a K-1 per partner showing their share of the income and expenses per the partnership agreement. That net amount increases the partner equity account and lowers retained earnings which is where QB puts last years net profit

Owners draw gets a debit to show you took value from the company, not a credit.

COGS gets the debit

If you used personal money that did not come from the business, that is NOT a draw, you did not take anything. If you used personal money then you use owner equity investment to show you put money into the company, and in turn the debit to COGS shows you spent it.

Meeting Up

Greetings Community members. I hope this week has treated you all well. I just wanted to drop by the Business Discussions space and share some info I recently learned. I have a feeling many of you have found yourself transitioning to the work at home life. With that, I thought it might be a good opportunity to share a few different methods of ways you can still meet up with your colleagues to get your work done as a team. Here are a few options offered in an article by Android Authority:

1. Microsoft Teams
Microsoft recently replaced the popular Skype platform with Microsoft Teams. This resource combines video chatting and messaging into one. Teams offers the ability to schedule meetings and host up to 250 people, woah! Additionally, you can share your screen to give others a better look and record meetings so ones who aren't able to attend can catch up later.

2. Hangouts Meets
This option is brought to you by Google. In Hangouts you can also host up to 250 employees, but the exact number depends on the plan you choose. As part of the G Suite you get to decide the features you need. A couple of these features include Hangouts Chat for easy instant messaging and shared Google Drive storage space.

3. Zoho Meeting
As you may have guessed, Zoho offers video conferencing, but also provides a way to set up webinars. Although these plans are separate, this may make a great choice as a way to interact with your customers, rather than just coworkers. Similar to other choices, with Zoho you can share your screen, mute the mics of the participants, and record your group chats, among other things.

4. GoToMeeting
GoToMeeting packs a bit more of a punch with the ability to host up to 3,000 people (insert shocked face emoji). Another perk is that participants can join virtual meetings on there PC or mobile device.

5. Cisco Webex Meetings
Powered by Cisco, Webex Meetings is a great tool that offers features related to those mentioned above. This specific alternative is more focused on smaller businesses that tend to hold shorter meetings. With that comes a 40 minute meeting restriction, but that may be all the time you need.

I recommend checking out the article I linked above for other choices and plan details for each. I hope this info helps with your transition to working from home and makes it easier to connect with your coworkers, even from a distance. Take care!

Re: JE missing from accountants copy changes import

Allow me to chime in, <LI-USER uid="756350" login="009"></LI-USER>.

Since the journal entry didn't import to your file from your accountant, I recommend running a verify and rebuild on the file. This will fix any data damage the file has. Then you can send your file to your accountant again so that they can import the changes. The steps below will show you how:

Go to Window and choose Close All.

Navigate to the File menu, hover over Utilities, and select Verify Data.

When "Your data has lost integrity," or another specific error message appears, you'll want to search the support site for instructions.

Then, run a rebuild by going to File, Utilities, and pressing Rebuild Data.

Back up your company files for the rebuild to start.

Hit OK when you receive the message "Rebuild has completed."

Now that your file's data is rebuilt, you can send the copy to your accountant and have them import the journal entries. You may find this article helpful: Import journal entries from your accountant.

Please don't hesitate to touch base here with me if you need any additional assistance. Have a great weekend!

Re: Vacation Time (PTO) - Reducing Balance When Running Payroll

I'll shed a light on this matter, wsenti0.

QuickBooks Desktop allows you to either give a lump sum at the beginning of the year or paid time off accruals (sick and vacation time) that can be used when paying employees.

Based on your screenshot, your set up is right. Please know that in QuickBooks Desktop, the accrued vacation or sick hours is a non-posting transaction. This means that even though we can view the total accrued hours when we create the paychecks, these hours won't be posted to the expense account (Payroll Expense) that you've created. We will see 0 on that account until the accrued hours are used by your employees.

This is how QuickBooks handles sick and vacation accruals, accruing these hours will not be posted on your reports or expense account. It will only show once it's used.

We'll also have to take note that Sick and Vacation hours used are based on the pay period end date of the paycheck, and not the paycheck date. In addition, Sick and Vacation hours available as of date will update to the most recent paycheck pay period end date for the employee.

I've included articles that will help you in handling sick and vacation time:

Sick and vacation time incorrect or not accruing on paychecks

Should you have any other concerns or further questions regarding this matter, you can always find me here. Stay safe and healthy.

Hi <LI-USER uid="757598" login="user62652"></LI-USER>,

Instant funding is an opt-in only service; once added to the account, it can not be disabled, unfortunately, and we have no way of removing your debit card. The best option for you at this point would be to cancel your existing merchant account and sign up for a new one without the Instant funding option.

Also, just to clarify, the additional 1% is only on the transactions you choose to receive instant funding on. When you process an eligible sale, there will be an option in QBO where you can request the instant funding on a specific transaction. Your account is not defaulted to where all your transactions are instant and you are immediately charged the additional 1%.

Re: Employee Self Setup / manual setup processes do not send email to user

Let me help you with this, <LI-USER uid="905118"></LI-USER>.

QuickBooks has its own sending address depending on the service you're using. These service-related email addresses needs to be set as a "safe sender" or whitelisted on your email account to make sure you receive important communications from these services. Since you're using the QuickBooks Online Payroll, I recommend using this address when sending an email QBOPayrollNoReply@intuit.com.

Validation code emails come from do_not_reply@intuit.com during sign-in and usually take 1 to 2 minutes before you receive it. We can search for this email address in all of your folders including spam and junk. If you see one of the emails from Intuit, right-click the email, then select This is not spam or Not Junk.

In addition, some email domains may block @intuit.com communications on their servers. You can follow these steps to resolve the issue:

Send an email to do_not_reply@intuit.com. This should trigger the email domain to recognise the @intuit domain as a trusted site. Then try your request again.

Wait at least 5 minutes after requesting a new verification code to see if the email appears in your inbox.

If the email doesn't appear after 10 minutes, contact your email provider to evaluate security settings for your email profile.

Please take note: Add do_not_reply@intuit.com to your contact list or address book before you proceed with the following steps.

If you're using a Gmail account, simply follow these steps to add the address in your contact list.

Select Contacts.

Click Add Contact, then enter do_not_reply@intuit.com as the primary email address.

Select Save.

Once you've added the email address to the safe sender's list, close all browser windows.

Open a new browser and attempt the sign-in process again.

If you're using a different email provider, you can follow the steps provided in this article: Receive important email messages from Intuit.

Re: I need to correct a SSN on a W-2 for an employee and cannot find the correct forms to do so?

Hello, bimmy. We're happy to have you here in the Community!

Correcting an employee's SSN so that it reflects on the W-2 is easy. The process differs, depending on what type of payroll subscription you have.

Here's how it's done if you're using QuickBooks Online Payroll:

1. In the menu bar on the left, go to Workers.
2. Find the employee you need to make changes to and click on Edit employee.

3. In section 1, hit the edit (pencil) icon to update their details.
4. Enter the new information in the field for the Social Security Number.

If you're subscribed to Intuit Online Payroll, follow these steps:
1. Open your Employees list and click on the employee's name.

2. Look for the Taxes & Exemptions area. Once you've found it, click Edit.
3. In the text box for the SSN, make the appropriate corrections.

It's that simple of a process. After you've completed the steps for the type of payroll you're using, you should be ready to print the form with the proper information displayed on it. Here's an informative article that may be helpful as well: Correct an employee's Social Security number

I'll be here to help if you have any questions.

Hi there, <LI-USER uid="914969" login="windie"></LI-USER>.

Thanks for following up with us.

You'll need to attach the Purchase Order to a Bill. Assuming you've already created the PO, here's how to attach a PO to a Bill:

In the left-hand corner, select the Plus (+) icon and select Bill.

Choose the same vendor you chose on the Purchase Order. An Add to bill menu will appear on the right side.

Under the PO you need to attach, click on Add. Fill in the rest of the fields for the Vendor Bill.

If these billed items will be included on a customer invoice, check-mark the box under the Billable column and select a name under Customer.

When you're ready, Save & Close.

For more detailed instructions, please refer back to this article: How do I attach a vendor bill to the PO?.

Once you've completed the steps above, the amount of the bill will show in the Profit and Loss Report under expenses, and then the invoice will show in the income section of the report. It'll show the full amount of the invoice as profit, but they'll offset one another because a P&L is income minus the expenses equal the total income.

Let me know if the steps above do the trick. If you have any more questions, I'm always here to help. Have a good one!

I moved over from QB Online to QB Desktop several months ago and am supremely frustrated with this software bug. I don't understand how the software developers overlooked this detail and did not address it in the beta version. It has created a great deal of extra, un-needed work, and I am seriously considering moving back to QuickBooks Online because it is so much easier to enter new transactions. It is almost better to manually input from my bank statement than to rely on using the bank feeds. PLEASE FIX THIS ASAP FOR EVERYONE'S SAKE.

Thanks for reaching out to the Community, <LI-USER uid="336521" login="PlumberJay"></LI-USER>.

At this time, there's not a way to change how the Invoice shows Paid in QuickBooks Online. I'm going to submit feedback to our Product Development Team about bringing in a feature that will allow customization to the layout. You can visit our Blog to see what's coming to QuickBooks Online as well as seeing the newest update!

Let me know if you have additional questions or concerns. Have a beautiful day!
