Auto-enrolment Guide

Introducing Auto-enrolment in QuickBooks Online

As we approach the new Tax Year you are now able to manage your payroll and Auto-enrolment all within QuickBooks Online. You will now see an additional tab within the payroll where you can set-up and manage your workplace pensions.

Auto-enrolment features in QuickBooks Online

We’ve added all the features you need to set-up and manage Auto-enrolment including:

  • Entering the staging date
  • Workforce assessment postponement
  • Pension scheme set up
  • Assigning which pay elements are included in pensionable and qualifying earnings
  • Automatic assessment of employees when running a pay run
  • Calculation of employee and employer pension contributions
  • Compliant employee communications available to download
  • NEST membership and payments file
  • Payment file available to send to other pension providers

To get started, go to the Auto-enrolment tab and follow our five step set-up wizard. You’ll need your staging date and pension scheme information at hand.

Key Features

Automatic Workforce Assessment

When you approach your staging date, QuickBooks will assess which employees are eligible and automatically add them to your pension scheme to calculate the contributions. This will save you the hassle of keeping track of your employees’ worker status.

Employee Communications

We’ve also provided the employee communications that need to be sent to your workforce so you can stay on top of your compliance obligations. The letter has been written by The Pensions Regulator and personalised with the name and address of your employee and the company pension scheme details.

To find the employee communications, click on an employee and go to the Auto-enrolment menu.

NEST Contributions File

If you are using NEST as your pension scheme QuickBooks will generate a file which can be uploaded directly to NEST’s pension portal, saving you from manual entry errors. If you use another provider we’ll also provide you with a pension file which may need to be adjusted before sending to your provider. Please check with your pension provider regarding their reporting requirements.

You can find your NEST contribution files after you approve your payroll, alongside your RTI submission.

Our Auto-enrolment features will be included in our payroll offering which is currently free until July 31 2015[1] and available in all versions of QuickBooks Online. Don’t know where to start with Auto-enrolment? Make sure you’ve seen our timeline so you can stay on top of workplace pensions.

[1] Payroll is free until July 31 2015. Thereafter it will be £1 per employee, per month.
