How do I change tax agency?

Hello, 

 

QuickBooks Online allows you to set up various tax codes and tax agencies to suit your small business needs. You may have more than one tax agency, and it's possible that you'll have to make adjustments as your business grows. 

I want to make sure we're on the same page so I can give you the best possible guidance and advice about this. 


Where are you trying to change your tax agency? Is there a specific tax code that's been set up with the wrong agency? Are you trying to change the tax agency that's associated with Payroll or Sales tax?

How do I change tax agency?

Hello AddieC,

Our company migrated from QuickBooks Desktop 2017 to QBO back in September  2019.

In the Desktop version the tax agency is Receiver Genral and we would like to change it to GST/HST.

Now under Tax agencies we have :

"Canada Revenue Agency

Receiver General"

 

"Receiver General" is on footage of the invoices - "Receiver General @ 5%"

is there a way to change "Receiver General " with " GST/HST".

 

I will be very thankful to you if you could help us with this issue.

Thanks for joining the thread! It's awesome to hear that you've made the switch from QuickBooks Desktop to QuickBooks Online. I hope you're enjoying the flexibility of the online platform.  

 

If you need to change the name of a tax code in your account, you'll have to create an entirely new tax code. At this time, you're not able to change the rate percentage, or the name of the tax code in your QBO account. 

 

To add a new tax code, follow along with the steps here: How to set up a new sales tax code. As always, it's a good idea to check with an accountant for the best advice regarding changes to your bookkeeping and how this will impact your account.

How do I change tax agency?

I accidently gave one of my sales tax locations the wrong agency. I only use one agency and for one of the locations I picked the one below the one I use from the list. How do I change it to the correct agency. When I follow the directions it says to click on Manage Sales Tax. I don't have that option on my screen. It literally doesn't let me do anything. I am the accountant with accountant credentials on this account. Do you have to be the admin. I thought I had equal admin credentials. This is so frustrating. We should be able to correct and revise things and I feel like everything we do it set in stone on the online version. I will never suggest a client to move to online.

I hear you on this @drluna. Don't worry, accidents like that are common. I'll be happy to show you how to fix them so you can continue to manage your business with peace of mind. To ensure data integrity, deleting a sales tax agency isn't possible, however, you have the option to make it inactive instead. Here's how:

  1. Click on Taxes from the left menu
  2. Choose Sales Tax at the top. 
  3. Click on Manage sales tax
  4. On the Tax agencies tab, find the tax agency associated with the sales tax rates you'd like to make inactive.
  5. Click Make inactive in the Actions column next to the rate you wish to make inactive
  6. From here, you'll be able to identify the sales tax rate that's been deactivated when you see Make active in the Actions column for that sales tax rate. 

Since you're unable to locate the Manage sales tax tab, I encourage you to try this using a private/incognito window instead. If this doesn't work, I'd recommend contacting the Master Admin of the account to double-check how the users are set up on the account. They'll be able to screen share with you to see how your taxes are set up in order to find the best solutions to get you back to entering transactions with the correct tax code.
