View and download employee payslips in QuickBooks Workforce

Learn how you can invite your employees to use QuickBooks Workforce so they can view and download their payslips. Plus, let them add their personal info for your records.

When you invite your employees to use QuickBooks Workforce, each time you run payroll they'll get an email so they can view their payslips in QuickBooks Workforce. They can also download their P60 form.

In order for your employees to access their payslips online you need to invite via email. Here's how you can invite a new or existing employees to use Workforce.

  1. Go to PayrollEmployees, then select Add an Employee.
  2. Enter the employee's first and last name.
  3. Tick the 'Invite employee to enter their personal details and view their payslips online with QuickBooks Workforce.' box.
  4. Enter the employee's email address.
  5. Select Invite my employee.
  1. Go to Payroll, then select Employees.
  2. Choose the employee you wish to invite and edit their Personal details.
  3. Enter the employee's email address and then check the box to invite your employee.
  4. When finished, select Invite my employee.

What happens next

Your employee will get an email invitation with a link to create an account with their own user ID and password. This allows them to add and manage their personal settings and security info, and use QuickBooks Workforce. You can also resend an invitation from the same place within the employee record.

Note: Payslips are automatically published to Workforce after a payroll run is finalised. Once your employees have access to download payslips via QuickBooks Workforce, you don't need to complete any additional tasks to send payslips to your employees. 

If you roll back and delete a previous pay run, it will automatically remove the corresponding employee payslips. Payslips will be generated when a payroll is rerun.

An employee will still be able to see historical payslips but not any created going forward. If the employee is invited again they will gain access to all payslips created to that point again.

Yes. If you use QuickBooks Online Payroll, your employees will have access for 12 months after cancelling your payroll. After that, access is no longer available, so be sure to advise your employees to print their documents for their own records. Please refer to the Workforce portal terms of service.
