
Manually upload transactions into QuickBooks Online

Learn how to manually upload transactions from your bank or credit card in QuickBooks Online.
When you connect your bank and credit card accounts, QuickBooks automatically downloads transactions up to a certain date. However, you can manually upload transactions if you want to enter old transactions, can’t find your bank, or connect it to QuickBooks.

Prerequisites
To avoid entering duplicates, check the date of the oldest transaction in the account you're uploading transactions to in your chart of accounts (Take me there).
Upload the transactions from an image or PDF with AI statement extraction
QuickBooks Online now lets you upload an image or PDF of your bank statement. It will extract and import the transactions for you using AI. No need to generate and format a CSV or other file type any more. Here's how:
Note: Have your bank statement in the form of a PDF or an image (.jpg, .png, or .heic).
- In QuickBooks, go to Transactions, then select Bank transactions.
- Select the Link accounts ▼ dropdown, then select Upload from file.
- Select Manually upload your transactions, then select the account you're uploading transactions for.
- Drag and drop, or browse to upload your bank statement.
- If the file you select is an image or PDF, QuickBooks will automatically run an AI-powered extraction of the bank transactions for you.
Note: You may see a notification that QuickBooks is reviewing your statement once uploaded. Our team of global experts may review your statement to ensure everything is accurate. You'll see a notification banner on your bank transactions page when your extracted statement is ready. - Once complete, you'll see a side by side view of your bank statement and what QuickBooks extracted from it. You can edit any field and/or item that may need your attention.
Tip: Be sure to review everything for accuracy. - Select Save.
You'll now see these transactions in QuickBooks on your bank transactions page for the bank or credit card account you selected.
Upload other file types
Follow these steps if you'd like to upload your bank statement from these file types: .csv, .txt, .qbo, or .ofx. You can include up to 1,000 lines per upload. Each line contains one transaction.
Follow this link to complete the steps in product.
- Select the tile for the account you want to upload the transactions into, if present.
- Select the Link account ▼ dropdown, then select Upload from file. If your account isn't connected yet to online banking, select Upload from file.
- Select Drag and drop or select files, and select the file you downloaded from your bank. Then, select Continue.
- In the QuickBooks account▼ dropdown, select the account you want to upload the transactions into. Then, select Continue.
Note: If you're new to QuickBooks, you may not have an account to upload the transactions into. If you don't see one, select Add New ▼ from the dropdown to create a new bank account. - Match the columns in the file with the correct fields in QuickBooks. Then select Continue.
- Select the transactions you would like to import. Then select Continue.
- Select Yes, then select Done.
Note: QuickBooks Online also enters certain details automatically if you set up any banking rules, or if it recognizes transaction descriptions.
