Add project quote summaries to a progress invoice in QuickBooks Online

Learn how to add quotes to your progressive invoices in QuickBooks Online.

If you bill projects in installments using progress invoicing, you can include a quote summary on their invoices. This keeps your customers in the loop and lets them know how much they owe.

Prerequisites

Before you can add project quote summaries to a progress invoice, turn on progress invoices and quote summaries. You’ll also need at least one project quote approved by a customer.

  1. Go to Settings Settings gear icon. and select Account and settings.
  2. Select the Sales tab.
  3. In the Progress Invoicing section, select the edit Image of the edit icon. icon.
  4. Turn on the Create multiple partial invoices from a single quote switch.
  5. Select Save, then Done.
  1. Go to Settings Settings gear icon. and select Custom form styles.
  2. On the template you use for progress invoicing, select Edit.
  3. Select the Content tab, then select the third section of the form.
  4. Tick the Quote summary box, then select Done.

Add quote summaries to invoices

Once a quote is approved by a customer, you can add it to an invoice for the customer to view.

  1. Select + New or + Create.
  2. Select Invoice.
  3. Select Add Customer â–Ľ dropdown, then select the customer you created a quote for.
  4. From the Suggested transactions sidebar, find the quote you want to include. Select Add.
  5. Select the option from the How much do you want to invoice? window, then select Copy to invoice.
  6. Select âš™ Manage, then select Design â–Ľ dropdown. Select the template you use for progress invoicing.
  7. Select Save and close. If you want to send the invoice now, select Review and send. Then edit the email message, if necessary, and select Send invoice.
  1. Select + New or + Create.
  2. Select Invoice.
  3. Select Customer â–Ľ dropdown, then select the customer you created a quote for.
  4. From the Add to Invoice sidebar, find the quote you want to include. Select Add.
  5. Select the option from the How much do you want to invoice? window, then select Copy to invoice.
  6. Select Customise to customise the info or design of your invoices. Then select another template, or follow the steps to create a New style or Edit current.
  7. Select Save or Save and close.
