Launching Swag by Employment Hero | FAQ

Swag is a self-service app designed to help payroll employees manage their work, money, and benefits. Having been recently created and launched by Employment Hero, it's due to replace the current staff self-service app, WorkZone. While Swag continues to host all of the familiar features from the WorkZone app, it will bring a fresh design and some exciting new functionality for all employees to enjoy.

Employment Hero owns Swag. Following the acquisition of KeyPay in 2021, Employment Hero combined the WorkZone and Employment Hero apps to create a single, powerful app where work tasks and additional benefits are all rolled into one.

Founded in 2014, Employment Hero is an Australian owned and based cloud technology company offering HR and Payroll software. Its award-winning core platform provides an end-to-end people management solution including recruitment, onboarding and performance management among other features. Employment Hero powers over 200,000 businesses, collectively managing over 1 million employees.
All the familiar employee admin features from WorkZone will be updated with a fresh design alongside some added functionality from the Swag offering. You can learn more about the Swag suite of features here.
In order for employees to access Swag, the employer will need to grant portal access via the Employee Portal Settings tab in Quickbooks Payroll.
Once an employee is enabled for Employee Portal Access, they will receive an activation email instructing them to download Swag and login.
If an employee has been previously enabled for Employee Portal Access, the employer can resend an activation email by following these steps in Quickbooks Payroll:
- Click the Employees tab and select the name from the list or search by typing in at least the first 3 letters of the employee name.
- Select the employee that you wish to reactivate their login/password. You will then be presented with the Employee details screen.
- Select Employee Portal Access from the menu.
- You will be presented with a screen that will show the employee's current email address. Check with the employee to make sure that the email address is still valid. There'll also be a link that says Resend activation email.
- Click the resend activation email link, and an email will be sent to the email address indicated by the employee. The email will be sent to the employee instructing them to sign in using a new password. After pressing the 'resend activation email' you will see a message indicating the email has been sent
WorkZone will be decommissioned on 26 September 2024 for QuickBooks Online Payroll customers. Now that Swag is available, it's our recommended mobile self-service app for users of QuickBooks Payroll powered by Employment Hero.
WorkZone users will be notified directly in-app from the 5th of August 2024, and we recommend that WorkZone users download the Swag app as soon as possible to begin enjoying the improved experience.
All workforce management features that were previously in WorkZone will be available in Swag.
However, in the new app the location of these may have changed. For example, pay slips are no longer accessed via the Employee File page, but are now found in the horizontal navigation bar. If there is a feature that you can’t locate, we recommend visiting the Swag support and chat area directly.
There are no additional fees to use Swag. Swag is included in your existing QuickBooks Payroll Subscription.
As part of the QuickBooks Payroll subscription, your employees will have access to all the familiar features from WorkZone plus some additional functionality from the Swag offering. You can learn more about the Swag offering for QuickBooks Payroll customers here.

The app comes pre-built and different features are offered within different partner subscription packages. As part of the QuickBooks Payroll subscription, your employees will have access to all the familiar features from WorkZone plus some additional functionality from the Swag offering.
Swag is the mobile-specific application for use on the go. Employees can also log into the QBO Payroll self service portal on a desktop using their Swag credentials.
Migrating from WorkZone to Swag
Employees using WorkZone can download the Swag app via the Google Play or Apple App store.
Employees currently using WorkZone will need to download the Swag app via the Google Play or Apple App store. They can simply login to Swag using their existing credentials and any data will automatically transfer to the new app.
- Search for Swag in your App or Play Store and tap on Install.
- Wait for the app to download and Tap on Open.
- Enter the same email address and password that is linked to your WorkZone profile.
- Tap Log In.
- Enter the authentication number that is sent to your mobile device, then tap Verify.
- Enter a passcode that you create.
If you prefer, tap on Turn on Fingerprint Login or tap on ‘No thanks’. Your details will automatically link from your web-based profile.
If you use both HR with Employment Hero, and payroll through QuickBooks Online there are some additional configuration steps needed to customise your experience. You can access HR features such as HR documents, Certifications, Policies and many more, while also having access to features that you were familiar with on WorkZone such as Clocking In/Out with Timesheets, Unavailability, Expenses and Leave.

If you forgot your password, you can reset it by selecting Forgot my Password which is located on the log-in page for Swag.
Enter the email address which is used in your QuickBooks Online Payroll employee file and a link can be emailed to you. Following this link will set you up to reset your password.
Note: The system will determine whether the password is strong enough by using a password strength estimator, rather than requiring a set number of letters/numbers etc.
To log in to Swag, users will download the Swag app from Google Play or App Store and use their WorkZone credentials to log in.
- Enter your email address and password and select Log In.
- lf you have 2-Factor Authentication turned on, enter your code into the Code field.
- Choose whether to select the Remember this Device for 45 Days tick box.
- Select Verify.
- Enter your password.
To reset a password, users can:
- Go to the following URL: https://quickbooks.yourpayroll.com.au/ and click 'forgot my password'
- Use the link provided in the email to reset your password
- Once reset, log in to Swag.
Please ensure that you are typing the newly created password and not using the Magic Link. Further, please ensure not to use any pre-saved credentials.
On occasions, employees may forget their login and/or password details. You are able to reactivate a login and a password by following these steps in QuickBooks Payroll:
- Click the Employees tab and select the name from the list or search by typing in at least the first 3 letters of the employee name.
- Select the employee that you wish to reactivate their login/password. You will then be presented with the Employee details screen.
