Print or export Employee Rosters

Learn how to print or export an employee roster generated from the Rostering section in QuickBooks Online Advanced Payroll.

Print a Roster

  1. Navigate to the Rostering screen by selecting Employees, then the Manage Employees dropdown and selecting Rostering.
  2. Select Roster actions, then select Print.
  3. A panel will appear with a range of settings:
    • Date range - weekly, fortnightly, daily or a custom range
    • Report format - day or week
    • Group by - location or business
    • Then sort by - employee, role or start time
    • Option to hide employees with no shifts
    • Filter by location
    • Option to include sub locations
    • Shift status - all, accepted, published or unpublished
    • Filter by employees
    • Option to show/not show - roles, leave, unavailabilities, breaks, higher classifications, notes, qualifications, roles, work types.
  4. Once done, select Print Roster.

You will then be presented with a print optimised view of the roster which you can then print out.

Note: Rosters are printed in PDF format only.

Export a Roster

Once you have created an employee roster, you can export it to Excel.

  1. Navigate to the Rostering screen by selecting Employees, then the Manage Employees dropdown and selecting Rostering.
  2. Select Roster actions, then select Export.
  3. Enter the date/s you wish to export from the roster.
    • The date selection will be defaulted to the roster period that is showing on your current roster view, however, you can change this by clicking on the date field and selecting from:
      • This Week
      • Next Week
      • This Fortnight
      • Next Fortnight
      • Today
      • Tomorrow
      • Custom Range
  4. Select Export Roster.
