Manage your wholesale discount plan and wholesale discount clients

Learn how to manage clients who are part of your wholesale discount plan and review charges.

As a ProAdvisor, you can add clients to your wholesale discount plan to get discounted rates on QuickBooks. Need to know which clients are already part of your wholesale discount plan? Here's how to review your wholesale discount plan and manage wholesale discount clients.

See your wholesale discount charges

  1. In QuickBooks Online Accountant, go to Settings ⚙ and then Subscriptions and billing.
  2. Select the Billing details tab.
  3. Review your current and next bill.
  4. In the Billing and payment history section, review your payroll-specific expenses.
  • The number of clients displayed in this tab does not reflect all the accounts in your wholesale discount but only the active accounts. The number of clients in your bills reflects both active and inactive account.
  • If you are not the primary admin with complete access, you will only see the clients which are assigned to you. Here is how to modify an employee access.
  • Remember that making a customer inactive doesn't cancel their subscription. It also doesn't remove them from your wholesale discount plan (steps below). If you want to remove a client from your QuickBooks Accountant account, follow this article below.
Note: Not all clients are eligible for wholesale discount. You can't add a client to your firm's billing if:
  • Their QuickBooks Online subscription is integrated with their QuickBooks Time subscription.

Add a new client to your wholesale discount plan

Follow these steps to add new customers to wholesale discount and start a subscription for them.

If your client already has a QuickBooks subscription, here's how to take over a client's direct billing.

Review your wholesale discount clients

To check a client's company name, subscription status, and product they're using:

  1. In QuickBooks Online Accountant, go to Settings ⚙ and then Subscriptions and billing.
  2. Select Accountant-billed subscriptions tab to review your wholesale clients.

Change a wholesale discount client's QuickBooks subscription

Follow these steps to upgrade or downgrade a clients' QuickBooks Online subscription.

Remove a client from your wholesale discount plan

When you remove a customer from your plan, they'll start paying for their subscription themselves. Their subscription won't be the same rate you paid since you got a wholesale discount. Removing clients doesn't impact their accounting data in any way.

  1. If you haven't already, make your client the primary admin of their company file.
  2. In QuickBooks Online Accountant, go to Settings ⚙ and then Subscriptions and billing.
  3. Select Accountant-billed subscriptions tab.
  4. Select the client you want to remove. Note: If the client is currently inactive, make them active first.
  5. From the Select action▼dropdown, select Transfer billing to client.

After you remove a client, they have read-only access to their QuickBooks company until they update their billing info. They can see their accounting data, but can't make changes.

Self-migrate out for firm-billed subscriptions

Your clients who are designated primary admin users of the QuickBooks subscription associated with their business can opt to take ownership of the QuickBooks subscription in an upcoming update. You will be notified via email if your client makes this change. 

When clients log into QuickBooks and access the Account and Settings > Billing & Subscription tab, they can select Transfer Billing to Myself. They will then be prompted to resubscribe to their plan and enter their credit card information to pay directly for their subscription at current retail prices.

From the date this change is made, you will no longer own this QuickBooks subscription or be responsible for paying the monthly fees for it.

Frequently Asked Questions about Self-migrate out

If I purchased a bundle of subscriptions as part of a promotion and my client transfers their subscription to direct billing, will my discounts be affected? 

No. If your client initiated the transfer of billing, the promotional discounts that apply to the rest of the subscriptions in your bundle would not be affected. Please reach out to your account manager if you have any further questions about promotional discounts and pricing.

If my client transfers to direct billing, will they be made aware of current retail pricing for QuickBooks Online?

When your client transfers billing in QuickBooks Online they will be presented with the current retail pricing for their plan. They will need to enter in their credit card information to pay and accept the monthly subscription cost.

If my client transfers to direct billing, does this impact my ProAdvisor points and benefits?

Regardless of who pays for QuickBooks Online subscriptions, if you remain connected to the QuickBooks file as a user, the subscription will contribute to your ProAdvisor points and benefits. 

I’ve provided instructions to my client but they are unable to transfer billing in QuickBooks Online.

Please ensure that your client is a primary admin user by following the steps outlined here.

What is a primary admin user?

The primary admin is the main user who has access to every part of the QuickBooks account. They can manage all users’ access (such as what they can and can’t do once they log in) and other admin tasks. 

By default, the primary admin is the person who initially set up the account. 

If you are a primary admin user and  need to assign a new primary admin, you can transfer the role to another user. More information on user types and access levels can be found here

How to identify who the primary admin user is

To identify who the current primary admin user is for the subscription:

  1. Select Clients from the left menu in QuickBooks Online Accountant.
  2. Select the qbicon_qboa_au_ext_210721.png icon next to the client’s name to enter the client file. 
  3. Select Settings ⚙, and select Manage users

You will be presented with a list of users with their corresponding role types.

How do I obtain the primary admin user role for my client’s company?

You will have to identify who the current primary admin user is and arrange for them to transfer the role to you by following the steps in this article.

Can my client see wholesale pricing?

When a client transfers to direct billing they will only see current retail prices in QuickBooks Online. 

Can my clients change their mind?

If your client changes their mind after transferring to direct billing, they can return to wholesale discount on the 50% ProAdvisor wholesale subscription discounted pricing. Your client will need to give you permission to take responsibility for paying all invoices for the subscription over billing by following the steps outlined here

Can my clients remove themselves from Wholesale discount plan?

If they are the primary admin, they can choose to break off from wholesale discount anytime. They'll need to access the Billing & Subscription tab under their settings to do that.
