Authorize QuickBooks Time clock-in by computer or location

by Intuit• Updated 4 weeks ago

You can limit the computers or IP address locations your team members use to clock in and out of QuickBooks Time. This helps ensure your team tracks time only from approved workspaces. You can also limit team members from tracking time on QuickBooks Workforce, if needed.

Prerequisites

You must be an admin or a team member with the Manage authorizations permission to set up or remove these restrictions.

Limit clock-in computers or locations

Authorize an individual computer

  1. From the computer you want to authorize, in QuickBooks Time, select Company Settings.
  2. Select My Team, then Access Restrictions.
  3. Select Authorize individual computers (by cookie), then Save.
  4. Select Feature Add-ons, then Access Restrictions.
  5. Enter a location name in the Location field, and select Authorize This Computer.

Authorize one or more locations

  1. From any computer, in QuickBooks Time, select Company Settings.
  2. Select My Team, then Access Restrictions.
  3. Select Authorize Locations (by IP address), and then Save.
  4. Select Feature Add-ons, then Access Restrictions, and select Authorize a new location (IP address).
  5. Enter a Description and an IP Address, and select Save.
  6. To add additional locations, repeat these steps.

Remove all restrictions

  1. From any computer, in QuickBooks Time, select Company Settings.
  2. Select My Team, then Access Restrictions.
  3. Select No Authorization Required, and then Save.

When you set an authorization, team members can successfully sign in and track time only from the approved computers or locations. If a team member tries to sign in or clock in from an unauthorized computer or location, they receive this error message: "Your computer has not been authorized for employee time entry! See your administrator to authorize this computer."
