SOLVEDby QuickBooksUpdated January 29, 2024

Learn how to limit the computers or IP address locations your team members can clock in and out from.

You can also limit team members from tracking time on QuickBooks Workforce, if needed.

Note: Only admins and team members granted the Manage Authorizations permission can perform these procedures.

Limit clock-in computers or locations

Authorize an individual computer

If you set an authorization, your team members will receive an error message: "Your computer has not been authorized for employee time entry! See your administrator to authorize this computer." when they try to sign in or clock in from an unauthorized computer or location.

  1. From the computer you want to authorize, in QuickBooks Time, select Company Settings.
  2. Select My Team, then Access Restrictions.
  3. Select Authorize Individual Computers (by cookie), then Save.
  4. Select Feature Add-ons, then Access Restrictions.
  5. Enter a Location name, and select Authorize This Computer.

Authorize one or more locations

  1. From any computer, in QuickBooks Time, select Company Settings.
  2. Select My Team, then Access Restrictions.
  3. Select Authorize Locations (by IP address), and then Save.
  4. Select Feature Add-ons, then Access Restrictions, and select Authorize a new location (IP address).
  5. Enter a Description and an IP address, and select Save.
  6. To add additional locations, repeat these steps.

Remove all restrictions

  1. From any computer, in QuickBooks Time, select Company Settings.
  2. Select My Team, then Access Restrictions.
  3. Select No Authorization Required, and then Save.
