Notes:
- You must be the administrator of your QuickBooks Time account to set up, change, or delete overtime alerts
- Everybody is allowed one weekly and one daily alert. If you create any new alerts that interfere with older ones, the new ones will override the old.
- When you enter the number of hours, the number will be rounded to the nearest whole number (ex. 37.5 = 38; 37.1 = 37).
- If you haven't set an alternate week start day, the alerts 'assume' that the first day of the week is Sunday.
- The authority chain goes as follows: Team Member > Group > Company
- This means that if you apply an alert to a company, and then a conflicting alert to a group in that company, the group will follow the alert you set for them while the rest of the company follows the company-wide alert. Same goes for an individual team member with an alert that conflicts with the alerts set for their group or company.
Set up overtime alerts
- In the left menu, go to Feature Add-ons > Manage Add-ons.
- Scroll down to Overtime Alerts, then select Install.
- Set up alerts by doing one of the following:
- On the Sample Alerts pop-up, if you want to use the listed scenarios, select Click here to set these sample alerts up for your account, and then Done.
- To close the Sample Alerts pop-up, select the X, then Add Alert Rule, make your selections, and select Save > Done.
- Alert selections are as follows:
- Who the rule applies to (company, group, or team member)
- How many hours and minutes need to be met and exceeded either per day or per week (e.g., 38 hours per week)
- How many alerts should be sent out and the frequency at which they are sent (e.g., 3 alerts, 1 every hour)
- How and to whom the alerts are delivered (e.g., to managers and team members via text message)
Change an overtime alert
- In the left menu, go to Feature Add-ons.
- Select Overtime Alerts.
- Select an alert rule, make the changes, select Save > Done.
Delete an overtime alert
- In the left menu, go to Feature Add-ons.
- Select Overtime Alerts.
- To the right of the alert rule you want to delete, select the red X.
- Close the Sample Alerts pop-up, and select Done.
