Track and submit your time in QuickBooks Time

QuickBooks Time allows you to track hours spent on specific jobs or customers, which provides detailed reporting and accurate payroll data. You can manage your schedule and time off through advanced tracking options or by using the QuickBooks Workforce mobile app.
Note: If you use QuickBooks Workforce, you can track your time there. Admins can also track their time or their team members’ time in QuickBooks Online or QuickBooks Online Payroll if they use QuickBooks.
How do I track time using the time clock?
You can record your work hours in real-time by clocking in and out through your web browser.
QuickBooks Online
- Follow this link to complete the steps in product

- Select Add time â–Ľ dropdown.
- Select Time Clock.
- Select a job or customer from the list and select Clock In, or simply select Clock In if no jobs are listed.
- If you need to change tasks, select Switch.
- To take a break, select Take Break. To end a break, select End Break.
- Select Clock Out when you finish working.
QuickBooks Time
- Sign in to QuickBooks Time.
- Select Time Clock.
- Select a job or customer and select Clock In, or select Clock In if none are listed.
- To change tasks, select a new job from the list and select Switch.
- Select Clock Out when your work is complete.
How do I enter time manually?
If you prefer to enter total hours or specific start and end times after the work is completed, use time entries.
Create a single time entry in QuickBooks Online
- Follow this link to complete the steps in product
- Search for the Team member.
- From the Add time â–Ľ dropdown, select Single time entry.
- Turn on the Set start and end time
switch if you have specific times, or enter total hours. - Enter the Start date, Start time, End date, and End time.
- Select the customer or project from the Customer â–Ľ dropdown and any applicable fields like Name or Service â–Ľ dropdown.
- Select the Billable (per hour) checkbox if applicable.
- Select Save and close.
Create a weekly time entry in QuickBooks Online
- Follow this link to complete the steps in product

- From the Add time â–Ľ dropdown, select Weekly time entry.
- Select the team member from the Team Member â–Ľ dropdown and use the calendar icon
to select the date range. - Select the Customer/Project from the Time category â–Ľ dropdown.
- Enter the hours for each day and select Save.
How do I manage breaks?
You can record breaks manually or use automated settings provided by your administrator.
- QuickBooks Online: Go to Time entries, select Add time â–Ľ dropdown, then select Break to enter duration or start/end times, and any applicable fields.
- QuickBooks Time: Select Time Clock, then select Take Break. To return to work, select End Break.
Note: If your admin set a required length, you must wait until the minimum time is reached before selecting End Break.
How do I edit or submit my timesheet?
Review your recorded hours for accuracy before sending them for approval.
- Edit: In QuickBooks Online, go to Time entries, find the entry in the list, and select Edit in the Action column.
- Submit: In QuickBooks Time, go to Time Entries, then Timesheets, select Submit Time, select the dates to submit, and then select Submit Week to confirm.
Note: You can’t edit hours after submission unless an admin rejects the timesheet.
