View QuickBooks Time timesheets

Learn how to view your team members’ timesheets in QuickBooks Online and QuickBooks Time.

View the actions taken related to the selected timesheet, including clock-ins, job or customer switches, clock-outs, edits, and more.



View timesheets

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Time, then select Time entries (Take me there).
  2. Select Date from the Display by dropdown.
  3. Select a predefined date range from the Date range dropdown. You can also select Custom to customize the date range.
  4. Search for a team member in the Team member field.

  2. Select Customer from the Display by dropdown.
  3. You’ll see a list of customers with the total time recorded for each within the selected date range.
  4. To view associated time entries, select any customer record displayed on this page. It’ll show all associated time entries that rolled up into that customer for that date range.
  1. In QuickBooks Time, go to Time Entries and select Timesheets.
  2. Select My for your own timesheet or All for you and your team members’ timesheet.
  3. Search and select your name or your team member’s name.
    Note: If you select My, then the search option is not visible.
  4. For the date, select Today or select Day, Week, Month, Year, or Pay period from the dropdown.
  5. Select the calendar icon to select a different date.


Interact with timesheet records

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Time, then select Time entries (Take me there).
  2. Select any individual timesheet record in the table to open it.
  3. If the timesheet is Approved, it opens in View mode.
  4. If the timesheet is Unapproved, it opens in Edit mode.
  5. From the ▼ dropdown under the Action column, you can:
    1. Delete: Delete the record if the timesheet is unapproved.
    2. View timesheet history: View all actions taken related to the timesheet, including clock-ins, job or customer switches, clock-outs, and edits.
  1. In QuickBooks Time, go to Time Entries and select Timesheets.
  2. There are three actions you can take next to any timesheet that isn’t locked.
    1. Select the edit icon pencil icon to make changes to a timesheet.
    2. Select the view log icon view log to view all timesheet history, including edits.
    3. Select the delete icon Delete icon. to delete a timesheet.
  3. Manager edits are indicated by Edited by Manager, which appears when you hover over the edit icon pencil icon at the start of the timesheet. To view these edits, select the view log icon view log next to the timesheet. The user field is displayed in red for manager edits.
  4. If the Location column is displayed:
    • If you have location tracking turned on, select display map to view the associated GPS map.
    • If QuickBooks Time web displays, this indicates time tracked from a computer's web browser.
    • If Automated displays, it was a clock in performed automatically for the user, like after an automatically ended break.


Customize the display

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Time, then select Time entries (Take me there).
  2. Select the settings icon ⚙ next to the Action column.
    1. Select which columns are displayed by selecting or unchecking the items you want to show or hide.
    2. To customize how the hours are viewed, select one from the available options of 1h 30m, 1:30, 1.50.
  1. Go to Time Entries and select Timesheets.
  2. Select the settings icon ⚙ next to the Notes column.
  3. Select which items you want to display from Show columns (max 6). Only 6 columns can be displayed at a time, including any custom fields you’ve set up, photo attachments, and geofencing flags
  4. Select Wrap text to expand the rows to make all text entries visible.

You can customize which column you want to display or hide.

Note: The In/out via field may appear in QuickBooks Online, but not in QuickBooks Time.

  • Name (Available in QuickBooks Online)
  • Time in - out (Available in QuickBooks Time)
  • Billable
  • Customer
  • Service/Service Item
  • Class
  • Location
  • Cost Rate (Available in QuickBooks Online)
  • Status (Available in QuickBooks Online)
  • If the Location column is displayed: If you have location tracking turned on, select the location icon to "display map" to view the associated GPS map.
  • In/out via can have one of the following options:
    • If Website displays: This indicates time tracked from a computer's web browser.
    • If Automated displays: This means it was a clock-in performed automatically for the user, like after an automatically ended break.
    • If iOS or Android displays: This means it was a clock-in performed by the user from the workforce mobile app .
  • If Attachments is displayed: If you have attachments turned on, select the paperclip icon to view the attachments.
