Get transaction info in QuickBooks

Learn how to get more transaction info in QuickBooks.

Get useful info about your transactions with transaction information requests. Accountants, bookkeepers, and clients can share this info and start a conversation about it with the help of Intuit Intelligence.

Note: Transaction information requests are available in QuickBooks Online (all plans), QuickBooks Ledger, and QuickBooks Online Accountant.

Transaction information requests let you:

  • Get receipts and transaction details for your accounting team.
  • Send transaction info to a client or team member and start a conversation about it.
  • Use the info to categorise and complete your transactions.

Accountants have two tabs when they use transaction information requests:

  • Transaction questions: Questions you ask about a transaction.
  • Questions from clients: Questions your clients ask about a transaction.

Clients have two tabs when they use transaction information requests:

  • Transaction questions: Questions the clients ask about a transaction.
  • Questions from us: Questions we ask the client about a transaction.

Note: QuickBooks sends you an email when a client asks a question about a transaction. Intuit Intelligence reviews each reply and asks follow-up questions.

Make sure your admin gives you a one-time consent. If you don’t have admin permission, QuickBooks asks you to contact your admin.

To do so, admin needs to select Give access in the pop-up that is displayed on selecting the new message icon + from the Request more info Image of the comment icon. column.

Note: Transaction information requests turn on when you connect your bank to your bank feed. You can’t turn them off.

Select transactions

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select one or more transactions.
    • For a single transaction: Select the new message icon + from the Request more info Image of the comment icon. column.
    • For multiple transactions: Select the checkboxes for the transactions you have the same question about, then select New message.

If you are requesting transaction information for the first time, you may see a pop-up on selecting the new message icon +. To know more:

  1. Select See how it works for a guided tour on how to Request more info, how to manage your messages, and how you can hide your requests using the Settings Settings gear icon. menu.
  2. Select Close to end the tour.

Add contacts

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Find the transaction you’d like to inquire about, then select the new message + icon.
  3. Select the team members icon.
  4. Enter your contact’s name and email address.
  5. Select Add contact.

QuickBooks sends them an email invite to sign in to or create a free Intuit Account so they can reply from the client portal.

Note: Contacts you add can reply to messages but they don’t get access to QuickBooks and don’t count towards your user limit. When you add someone as a QuickBooks user, it gives them access to both QuickBooks and requests.

Manage contacts

To edit a contact:

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select Requests, then select Manage contacts.
  3. Find the contact you want to edit then select Edit.
  4. Make the changes then select Save.

To delete a contact:

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select Requests, then select Manage contacts.
  3. Find the contact you want to delete, then select Delete from Dropdown arrow icon. under the Actions column.
  4. Select Delete contact to confirm.

Assign request to specific people

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Find the transaction you’d like to inquire about, then select the new message + icon.
  3. Select your contact’s icon.
  4. Write your request, then select Add message.

Note: Only the selected contact can see your request except for the primary admin who sees all requests.

Once you add a request, you can select the icon in the Request more info Image of the comment icon. column to view it, add a response on it, or to mark it as complete.

To track your requests:

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select Requests, then Transaction questions to view the Open, Ready for review, or Completed requests.

  2. Find the transaction you’d like to inquire about, then select the new message + icon.
  3. Select a team member or contact to send the request to.
  4. Type in your request or select from the provided request templates.
    Note: You can also add an attachment. Just select the attachment icon.
  5. Select Add message.
  1. Select the link in your email from QuickBooks.
    Note: The link directs you to the QuickBooks client portal automatically, or asks you to sign in to your Intuit Account. It asks you to sign up for a free Intuit Account if it’s your first time.
  2. Answer the question or upload any documents requested.

Note: Intuit Intelligence checks your reply and asks follow-up questions.

Turn Intuit Intelligence follow-up on or off

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select Requests, then select Preferences Settings gear icon..
  3. Select Allow Intuit Intelligence to follow up to turn it on or off.
  4. Select Save.

Note: Intuit Intelligence is on by default.

Ask about a specific transaction

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Find the transaction you have a question about, then select the new message + icon.
  3. Select your accountant’s icon.
  4. Write your request or select from the request templates.
  5. Select Add message.

Ask your firm a general question

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select Requests, then select Questions from us.
  3. Select + New message.
  4. Select the firm you want to message, if you work with more than one.
  5. Type your message, and add an attachment if you want to.
  6. Select Send.

  2. Go to the transaction you want to mark the request as complete, then select the message Image of the comment icon. icon.
  3. Select Mark complete.

Note: Add a new response to re-open the request.

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select a transaction with a completed request.
  3. Fill out the necessary info: Transaction type, Category, Product/services, Class, Location, or any other field.
    Note: The fields you see may vary based on your transaction.
  4. Alternatively, review the suggestions given by Intuit Intelligence, and update them if needed.
  5. Select Post to categorise the transaction.
