Switch from QuickBooks Self-Employed to QuickBooks Sole Trader

Learn how to switch from QuickBooks Self-Employed to QuickBooks Sole Trader.

QuickBooks Sole Trader is our enhanced tool for self-employed individuals. It provides familiar features and enhanced features (like sending estimates, and setting financial goals) to assist you with financial management.

We’ll help you make the switch to QuickBooks Sole Trader, for an upgraded accounting experience.



Switch your data

We can automatically switch your subscription and most of your data to QuickBooks Sole Trader so you can continue to run your business as usual.

Note: You can do this process on the web and mobile versions of QuickBooks Self-Employed. If you're a mobile user and want to cancel your QuickBooks subscription, visit your app.

The following data automatically migrates when you switch to QuickBooks Sole Trader:

  • Customers
  • Trips
  • Product and Services
  • Bank Connections
  • Transactions (records from 01/01/2023)
  • Receipts (records from 01/01/2023)

The following data will be supported for migration in the future. If you need any of this data, you may wait until we update the migration experience before you switch products:

  • Rules
  • Quarterly Tax Estimates

The following data can't be switched over:

  • Invoices
  • Third-party app integrations such as Etsy, Uber, Amazon
  • Tags
  • Suppliers


Switching to QuickBooks Sole Trader

Before you upgrade to QuickBooks Sole Trader,  make sure to download and save your reports and accounting info as you won't be able to access your old account after the upgrade process is complete.

  1. Sign in to your QuickBooks Self-Employed account.
  2. Go to Settings Settings gear icon. and select Upgrade.
  3. Select Select plan for the Sole Trader column.
  4. Review the changes in features, then select Continue.
  5. We’ll show you what data we’re copying over. Select Download Data if you haven’t saved your data and backed up your reports, transactions, mileage logs, receipts, and invoices.
    Note: If you opt to download data, you’re directed to the Reports (Take me there) screen. After downloading, you'll need to restart the upgrade process.
  6. Select Continue to proceed.
  7. Select Get started.
  8. Select Get started, then select Start.
  9. Confirm or update a few details about your business to start using QuickBooks Sole Trader.

Once you're done, we'll automatically cancel your QuickBooks Self-Employed subscription if you purchased it directly from QuickBooks.

If you bought your QuickBooks Self-Employed subscription from Google Play or the Apple App Store, you'll need to cancel it through that store.

Here's another way to switch to QuickBooks Sole Trader. You may follow this manual process to switch.

Step 1: Download and save your data

Download all your QuickBooks Self-Employed transactions and copy them to QuickBooks Sole Trader. It's a good idea to have a backup, even if you're starting fresh.

Step 2: Subscribe to QuickBooks Sole Trader

Go to our website’s Plans & Pricing page to subscribe to QuickBooks Sole Trader.

Step 3: Copy your data to QuickBooks Sole Trader

Before you start moving your data, first consider what type of data to copy.

Online banking allows you to save time and avoid duplicate transactions. You can connect your bank and credit card accounts to QuickBooks Sole Trader and download transactions with this feature.

Alternatively, you can manually upload transactions into QuickBooks Sole Trader.

Step 4: Cancel your QuickBooks Self-Employed subscription

Once you've imported your data to QuickBooks Sole Trader, you need to put a stop to your QuickBooks Self-Employed subscription. This way, you won't get charged for both of them.
