Allow employees to view and download payslips in QuickBooks Workforce

Use QuickBooks Workforce the secure employee self-service portal to save time on employee admin. Invite your employees so they can access their payslips anywhere anytime.

Watch this space! Employees will be able to view and download their P60 forms too.

In order for your employees to access their payslips online you need to invite them via email.

  1. Go to Payroll, then select Employees.
  2. Select the employee you wish to invite and then Edit Personal details.
  3. Enter the employee Email address and then check the box to invite your employee.
  4. You can also add employees in the Payroll Created page.

Your employee will then receive an invitation to create an account and login at Workforce.intuit.com. You can also resend an invitation from the same place within the employee record.

Note: Payslips are automatically published to Workforce after a payroll run has been finalised. Once your employees have access to download payslips via QuickBooks Workforce, you don't need to complete any additional tasks to send payslips to your employees. 

Please find below the functionality your employee will have through Workforce.

  • The ability to view and download payslips
  • Select current and previous years using a simple drop-down to select the payroll year required

What happens if I roll back and delete payslips?
Rolling back and deleting previous payroll runs will remove employee payslips, which will then be replaced when payroll is re-run.

Will my employees still have access to their payslips and other payroll documents if I cancel payroll?
Yes. If you use QuickBooks Online Payroll, your employees will have access for 12 months after cancelling your payroll. After that, access is no longer available, so be sure to advise your employees to print their documents for their own records. Please refer to the Workforce portal terms of service.

If an employee's email is removed from the Workforce option in QuickBooks, on their employee record will their access to their payslips and other documents be removed in their Workforce account?
An employee will still be able to see historical payslips but not any created going forward. If the employee is invited again they will gain access to all payslips created to that point again.
