Upgrade or downgrade your QuickBooks Time subscription

Learn about the different QuickBooks Time subscriptions and understand how upgrading or downgrading affects features and functionality.

QuickBooks Time offers several subscription plans designed to meet different business needs. Changing your subscription will either enhance or limit your experience with QuickBooks Time. You can manage your QuickBooks Time subscription within QuickBooks Online or QuickBooks Time.

Upgrade your QuickBooks Time subscription 

When you upgrade your account, you won’t lose any information. You’ll gain access to enhanced features and functionalities for the following: 

Projects

Projects lets you set up time estimates to track the progress made on a project. You can break your estimates down by individual tasks, or keep it simple with total hours. You can also see live updates, like note and clock ins/outs, for each active project in the activity feed.

Note: Existing timesheets won't be transferred into any new projects you create. This feature will only apply to time moving forward. Set up your jobs or customers as normal, and then use the projects feature to set up any active projects your team will be working on.

Geofencing

Geofencing alleviates time spent editing and correcting timesheets. With physical addresses added to your jobs and customers, team members will receive notifications from QuickBooks Workforce to clock in or out based on when they entered or left the job site.

Timesheet Signatures

Timesheet signatures turn on a signature box on each timesheet for employees to sign as they clock out. The signatures are viewable in time entries and certain reports by an admin or manager.

  1. Go to Settings ☸, then select Subscriptions and Billing.
  2. Select Upgrade your plan.
  3. Select Choose plan on the Elite tile and follow the on-screen steps to upgrade your plan.

  3. Select Choose plan on the Elite tile and follow the on-screen steps to upgrade your plan.

Downgrade your QuickBooks Time subscription 

You won't lose any time tracked when you downgrade your subscription but here’s what happens to the following features: 

Projects

Projects show up as sub-customers in your customers list. You won't lose those projects; they’ll be listed as a sub-customer. Your team members can still clock in to these from the time clock. If you use project tasks, you'll find them listed as items in a custom field called “tasks”.

  1. In QuickBooks Time, select Feature Add-ons
  2. Select Custom Fields.

Previously tracked time won’t be changed or ‌lost. However, you’ll no longer have access to the activity feed or any other projects features.

Geofencing

Your account will still have customer or job addresses. However, team members will no longer be told when they are close to a job, or offered time changes for missed clock-ins or outs. The nearby jobs feature will still work but will only suggest jobs located physically near the team member when they clock in.

Timesheet signatures

Your team members will no longer be able to sign their timesheets, but historical timesheet signatures will still be accessible as attachments.

  1. Go to Settings ☸, then select Subscriptions and Billing.
  2. Select Downgrade your plan.
  3. Select Choose plan on the Premium tile and follow the on-screen steps to downgrade your plan.
