Export and Back Up Account Data

by Intuit2 Updated 3 months ago

Create a backup of your account to safeguard your data. With account exports you can store account information outside of Mailchimp, such as audiences, templates, marketing emails, and SMS data. You can also re-import your exported data, with the exception of email and SMS reports.

In this article, you'll learn how to export and back up your account data.

Before you start

Here are some things to know before you begin this process.

  • You're allowed 1 account export per 24-hour period.
  • We'll email you when your data export is ready. The export process can take some time, especially if you have a large amount of data.
  • When the export is done, we'll create a ZIP file of all your requested data. This file is only available in your account and isn't included in the email we send you.

About the export

Before you export your data, it's a good idea to review what information is available to export so you can decide if this process meets your needs.

What you can export

Here's what's available to export from your account.

  • Audiences
Folders with separate files for cleaned contacts, subscribed contacts, transactional (non-subscribed contacts), and unsubscribed contacts.
  • Reports
Folders for different reporting data. These can include an aggregate_activity folder with data like opens, clicks, and unsubscribes, a geo_data folder, and a granular_activity folder with open and click data for individual contacts.
  • Templates
A folder with HTML files for all your email templates.
  • Campaigns
A CSV of all regular emails on the Campaigns page. This includes a campaigns_content folder with HTML and TXT files.
  • SMS data
A folder with the source, SMS acquisition time, revocation of consent time (if applicable), subscription status, program name, and SMS phone number of your SMS contacts.
  • Content studio files
A folder with all image and content assets stored in the My files section of the content studio in your account. If you have a lot of assets stored in Mailchimp, this file will be large.
  • Events
Export a CSV of custom events passed into Mailchimp via our API 3.0. This CSV includes timestamps, Event Name, and the email address of the contact who created the event.

What's not available

Here's what's not available to export from your account.

  • Deleted audiences
Audience deletion is permanent, and we don’t host deleted audience data. For more on how audience deletion works, check out Delete an Audience.
  • Billing receipts
Current and past billing statements aren't included in account exports. If you need to print or save receipts for your Mailchimp account, you can do that from the billing history page in your account settings.
  • Third-party information
We can only include information about your contacts stored in Mailchimp. If you use a separate system or application to manage your contacts, consider integrating it with Mailchimp or use our API to sync your data.
  • Website, landing page, and ad content
The content of social ads, remarketing ads, landing pages, and your website are not available to export.

Export your account data

To export your account data, follow these steps.

  1. Click your profile icon, then click Account.

  2. Click the Settings drop-down and choose Manage my data.
    Export my data option

  3. Check the box next to each type of data you want to export.
  4. Use the date drop-down and choose a time frame for your export.
  5. Click Export Data.

Allow up to 24 hours for the export if you have a lot of data.

We'll bundle all of your data into a single ZIP file, which you can download from the Manage my data page. This may take a little while if you have a lot of data.

We will also send an email to the email address on file for your account when the download is ready. When you receive the email, click the link to go to the Export My Data page, and then click Download My Account Data.

Our backup processes

Everyone's account information is stored on a database shard. Each shard has 3 servers.

  • Primary
The primary server handles the daily activity.
  • Secondary
The secondary server is a backup for the primary server.
  • Extra Backup
The third server is an additional backup server.

We also backup the entire shard every day, just in case something happens to all 3 servers. Most system problems aren't significant enough to be noticed by our customers, and we’re able to fix them quickly. These security measures help protect the data stored in Mailchimp.

We're continually evaluating our backup system to keep an eye on things and adding additional layers of backup to protect your data.
