Upload your receipts

Upload your receipts to QuickBooks Online from your computer or mobile device. We extract info from it and create a transaction for you to review. Then, you can edit the receipt, add it to an account, or match it to an existing transaction in the Receipts tab.

Tip: If you'd like your employees to upload and submit their receipts for expense claims, consider upgrading to QuickBooks Online Advanced. You can review their expense claims and record the transactions that match. This isn't included in your current subscription.

Prerequisites

To upload receipts with the QuickBooks Online app, install it on your iOS or Android mobile device.

Before you upload a receipt:

  • Remove any sensitive or personal info, like credit card numbers and government identifiers.
  • Your receipt must be a PDF,  JPEG, JPG, GIF, or PNG image. 

Note: If you have a newer iPhone or iPad, you may need to convert your images from the HEIC format. Apple provides instructions on how to do so.

Step 1: Upload receipts to QuickBooks

You can add one receipt at a time using a web browser or the QuickBooks Online mobile app. Repeat for each receipt you want to add.

Upload receipts from your computer or Google Drive to QuickBooks Online.

  1. Follow this link to complete the steps in product Open this link in a new window
  2. Select Upload from computer or Upload from Google Drive.
    Note: Each image or file should only contain a single receipt.
  3. Choose your receipt file and upload it.

Notes:

  • Each file should include only one receipt.
  • You can also email receipts directly to QuickBooks Online. We’ll create transactions for you to review.

Snap a photo of your receipt on your mobile device in the QuickBooks Online mobile app.

  1. Open the QuickBooks Online mobile app.
  2. Select the Menu ≡ icon.
  3. Select Receipt snap.
  4. Select Receipt camera and snap a photo of your receipt.
  5. Select Use this photo, then Done.

Note: When you snap receipts, your Android device may make a beeping sound. To silence it, turn off the camera sound on your device.

Step 2: Review, add, or match receipts

Now you've uploaded your receipts to QuickBooks. To add them to your books, review each receipt and either match it to an existing transactions or add it as a new one.

  1. Follow this link to complete the steps in product
  2. Select the For review tab.
  3. Select the uploaded receipt.
  4. If QuickBooks can find any existing transactions that match your uploaded receipt, it shows the number of matches. Select See suggested matches. Choose the matching expense from the dropdown ▼, then select Match.
    Tip: If QuickBooks couldn’t identify a matching transaction but you know one exists, select Search manually.
  5. Complete the transaction details. Add any notes in the Memo section.
  6. Select Save and close.

Note: If QuickBooks has identified a matching transaction, you can skip the review and select Match.

  1. Go to Menu ≡.
  2. Select Receipt snap.
  3. Select the For Review tab and review the receipts that aren't in your books yet.
  4. Check the label under the receipt amount to find out what steps you need to take next, then select the receipt.
    1. If QuickBooks found transactions matching the uploaded receipt, select the one you want to match the receipt with.
    2. If there’s no label under the receipt amount, QuickBooks couldn’t match the receipt to an existing transaction. Swipe the receipt to create an expense based on it.
    3. If the receipt is missing info, add any details and select Save receipt. Then swipe the receipt to create an expense.

Note: Go to the Reviewed tab to view all the receipts you added to your books. You can swipe right on a receipt to undo it and move it back to the For Review tab.
