Edit a sales order in QuickBooks Commerce

Learn how to edit a sales order in QuickBooks Commerce.

When a customer makes a purchase, you can <a href="https://community.intuit.com/oicms/L5n7SBr3H_US_en_US">create a sales order manually</a> or automatically by <a href="https://community.intuit.com/oicms/L7cmAzK77_US_en_US">connecting your sales channels to QuickBooks Commerce</a>. If there are changes, you can edit them to make sure that they’re up-to-date. Here’s how.

You can edit parts of the sales order depending on what stage it's currently in. 

Note: You can only increase Stock Quantity.

<li>You can edit all parts of the sales order.</li><li>You can add or remove line items.</li>

Draft

<li>You still have access to edit all parts of the sales order. The stock is only committed in this stage.</li><li>You can add or remove line items.</li>

Active

<li>You can add or remove line items and landed costs if they’re not yet invoiced, packed, or shipped.</li><li>You can change the Issue Date and the Shipment Date.</li><li>You'll be able to view the Pick List after you create a shipment.</li><li>You can edit the Assignee.</li><li>You can't edit the Customer and Currency totals on the sales order.</li><li>You can’t edit the sales order number.</li>

Finalized

<li>You can edit these fields:<ul><li>Bill To</li><li>Ship To</li><li>Packed</li><li>Shipment date</li><li>Received date</li><li>Delivery type</li><li>Invoice number</li><li>Gross weight</li><li>Shipping term</li></ul></li><li>You can also add, but not remove the line items. </li><li>You can <a href="https://community.intuit.com/oicms/L3yF745z0_US_en_US">create a return</a>.</li>

Fulfilled

You can edit a sales order if there are any updates to the order.

<li>Go to Sales Orders, then select Orders. </li><li>Select the sales order you need to edit.</li><li>Select Edit Order.</li><li>You can edit most of the order details and line items. Select the Edit ✏️ icon to edit the sales order number. Note: You can only set a numbering style for sales orders manually in QuickBooks Commerce. The system automatically increments the sales order numbers from the last number that was used.</li>

You can delete items in a sales order if there are no attached invoice payment, shipment, or return.

Note: Once you fulfill the line items in the sales order, you can’t remove them. You can <a href="https://community.intuit.com/oicms/L3yF745z0_US_en_US">create a return</a> instead.

<li>Select the sales order with the line items you need to remove.</li><li>Select Edit Order.</li><li>Select the Remove ❌ icon on the line item you want to remove.</li><li>Select Save.</li>

You can delete the invoice from the sales order to remove the line item, then create the invoice again.

If the line items are invoiced but not fulfilled

You can’t delete a fulfillment from a fulfilled sales order, but here’s what you can do.
